Job Title: CCA Coordinator
Location: Hybrid (Remote & On-Site at School During CCA Programme)Employment Type: Full-TimeSalary Range: RM2,500 – RM3,000 per month
Job Summary:
We are seeking a highly organized and detail-oriented CCA Coordinator to manage and oversee the school’s Co-Curricular Activities (CCA) program. This role requires on-site presence during the CCA programme to ensure smooth execution, while administrative tasks can be completed remotely. The ideal candidate must be enthusiastic and passionate about working with Early Years Foundation Stage (EYFS), ensuring engaging and age-appropriate activities for young learners. The coordinator will be responsible for scheduling, liaising with instructors and vendors, handling invoicing and payments, and ensuring a well-structured and enriching CCA program.
Key Responsibilities:Program Management & Development
· Develop, implement, and oversee a diverse range of CCAs that promote holistic development, particularly for EYFS students.
· Ensure that CCA offerings align with the school’s educational philosophy and student needs.
· Continuously evaluate and improve CCA programs based on student participation and feedback.
On-Site Coordination & Supervision
· Be present at the school during CCA sessions to oversee activities, support instructors, and ensure a safe, engaging experience for students.
· Monitor attendance, engagement, and the overall quality of CCA sessions.
· Address any immediate issues that arise during CCAs, ensuring a structured and well-supervised environment.
Scheduling & Administration
· Coordinate schedules, activities, and resources effectively to ensure a seamless CCA experience.
· Maintain accurate records of student participation, attendance, and progress.
· Oversee logistical arrangements, including venue bookings, equipment management, and instructor availability.
Instructor, Vendor & Invoicing Management
· Handle invoicing and payment processing for CCA providers and instructors.
· Ensure all instructors meet school safety and professional standards.
Student Engagement & Welfare
· Foster a fun, engaging, and age-appropriate environment for EYFS students participating in CCAs.
· Encourage and support student participation in CCAs, ensuring inclusivity for all.
· Ensure a safe, structured, and supportive setting where young learners can explore and develop their interests.
Financial & Invoicing Responsibilities
· Generate and process invoices for CCA-related fees, ensuring timely payments from parents.
· Track and manage payments.
· Maintain accurate financial records for the CCA program and liaise with the finance department for reconciliation.
Qualifications & Requirements:
· Bachelor’s degree in Education, Business Administration, Sports Management, or a related field (preferred but not required).
· Previous experience in school administration, event coordination, or financial administration.
· Highly organized with strong attention to detail to coordinate schedules, activities, and resources effectively.
· Enthusiastic and passionate about working with Early Years Foundation Stage (EYFS) and young learners.
· Proficiency in handling invoicing, payments, and financial transactions.
· Excellent communication and interpersonal skills to liaise with students, parents, and instructors.
· Ability to work on-site at the school during CCA hours and manage administrative work remotely.
Preferred Skills & Attributes:
· Experience working in an international or private school setting.
· Familiarity with co-curricular programs such as sports, performing arts, STEM clubs, and leadership development.
· Knowledge of invoicing systems and school management software.
· Understanding of risk management and safety procedures in extracurricular activities.
