Job Summary:

We are seeking a highly organized and proactive Personal Assistant (PA) to support our Director. The ideal candidate will manage administrative tasks, schedule appointments, handle correspondence, and assist with professional and personal responsibilities.

Key Responsibilities:

1. Administrative & Office Management

  • Manage the boss’s calendar, schedule meetings, and organize appointments.
  • Handle emails, phone calls, and correspondence professionally.
  • Prepare reports, presentations, and documents as required.
  • Maintain filing systems, both digital and physical, ensuring confidentiality.

2. License & Document Renewal Management

  • Track expiration dates of business, professional, or regulatory licenses.
  • Prepare and submit renewal applications on time.
  • Coordinate with relevant authorities or agencies for license approvals.
  • Maintain updated records of permits, certifications, and regulatory documents.

3. Travel & Event Coordination

  • Arrange travel, visas, accommodations, and itineraries.
  • Organize events, conferences, and business meetings.

4. Task & Time Management

  • Prioritize tasks and ensure deadlines are met.
  • Remind the boss of important commitments and follow up on pending tasks.

5. Communication & Liaison

  • Act as a bridge between the boss and employees, clients, and vendors.
  • Draft official emails, letters, and other correspondence on behalf of the boss.

6. Personal Assistance

  • Assist with personal errands and appointments as required.
  • Handle any ad-hoc duties assigned by the boss.

Requirements:

Proven experience as a Personal Assistant, Executive Assistant, or similar role.
Ability to work independently with minimal supervision and handle multiple priorities.
Strong organizational and time-management skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and email management.
Excellent communication and interpersonal skills.
Ability to multitask, work under pressure, and maintain confidentiality.
Prior experience handling license renewals and administrative paperwork is a plus.

Job Types: Full-time, Contract
Contract length: 12 months

Pay: RM2,500.00 - RM3,500.00 per month
