Job Description

1. To ensure timely and accurate payment of Hydrocarbon Management’s payables, and settlement of Hydrocarbon Management’s receivables.

Main Responsibilities

  • Operate Hydrocarbon Management Accounts Payable and Receivable processes
  • Ensure that all payments and receipts are made in accordance with relevant contracts.
  • Verify Hydrocarbon invoices and sent for further processing
  • Troubleshoot issues relating to HM payments and receivables.
  • Perform monthly reconciliation of SBM line fill clear process
  • Undertake Intercompany payments / receivables specific to HM
  • Ensure timely submission of reports or commentaries required for listed companies
  • Ensure strict compliance with payment / receipt deadlines.
  • Work closely with the HM Contracts and Pricing team, Stock Recording and Reconciliation team, Trading and Supply and the Payment team.
  • Prepare manual journal entries in accordance to FCM controls
  • Reconciliation of relevant accounts using SOAR tool.
  • Execution RDS / FCM controls per controls role mapping requirements.
  • Process Improvements and Convergence Continuous Improvement ideas and solutions to achieve efficiencies and effectiveness in performing tasks and assist in implementation
  • Operational Excellence/Client Delivery: To ensure timely and accurate deliveries of team’s KPIs
  • To ensure compliance and execution of RDS, Key Controls and Non-Key Controls in accordance to Client’s Controls Framework
  • Maintain good working relationship between teams and OU, sometimes needing to mediate and assert viewpoint.

2. To ensure the timely and accurate recording and reconciliation of HM stocks for relevant plants by validating all incoming and outgoing movements and posting the relevant book to physical loss/gain for month end closure.

Main Responsibilities

  • Validate that all movement transactions which have physically taken place have been accurately and completely recorded in the system before stocks are reconciled.
  • Validate if discrepancies exist, that they are being investigated and resolved on timely basis.
  • Reconcile book vs physical stocks on regular basis, and on time for period end close.
  • Obtain and validate the following in Third Party operated depots/Exchange locations/pipelines:
  • - Client’s daily throughput figures,
  • - Gain/loss figures as agreed with 3rd parties,
  • - Client’s physical stock information for period end stock reconciliation
  • Investigate and resolve any discrepancies with figures from 3rd party operated depots, including stock differences outside of tolerance.
  • Post any final stock differences within allowed tolerance to the appropriate gain/loss accounts in accordance to the Manual of Authorities (MoA), in compliance with GSAP and SOX 404 guidelines.
  • Prepares overview of losses & gains for approval.
  • Ensure compliance with all Global standards & controls and streamline processes, policies and procedures.

Requirements

  • Degree in Finance/Accounting/Information Management or Professional Qualifications is preferred.
  • At least 1 -2 years of working experiences in Finance / Accounting related field
  • Detailed understanding of Trading & Supply and operational business practices associated with HM contracts in order to ensure accurate payments/receipts on a timely basis.
  • The incumbent must work under pressure and will problem-solve in order to assist the business as required.
  • Hands-on skills in IT/PC applications
  • Highly disciplined in meeting deadlines and willingness to work at ad hoc hours as required.
  • Teamwork focused to deliver results and meet business needs
  • Ability to integrate the operational knowledge described above with the associated accounting requirements and system / financial entries
  • Ability to gain an in-depth knowledge and understanding of GSAP contracts, pricing and material movements, the settlement process, the source, document flow & associated fields
  • Ability to gain an in-depth understanding of the complexities of the GSAP HM Purchasing /Sales and pricing solution
  • Able to work with Group resources on process streamlining and standardisation
  • Familiar with GSAP modules and able to work independently
  • Proficiency in financial accounting practices
  • Proficient in written and spoken English Language
  • Good working knowledge of Microsoft Applications especially Excel and PowerPoint
  • 12 Months contract position available in Cyberjaya, Selangor
