Job Summary:

MySchool is seeking a highly organized and dynamic Activities, CCA & Holiday Camp Manager to lead a small team in overseeing co-curricular activities (CCA), school event programs, and holiday camps. This role requires strong leadership, attention to detail, and enthusiasm for working with students, ensuring high-quality and engaging extra-curricular experiences. The successful candidate will be responsible for team management, scheduling, liaising with vendors and instructors, handling invoicing, and ensuring the smooth operational delivery of school activities, CCAs, and holiday camps.

Key Responsibilities:Program Development & Management

  • Plan, implement, and oversee a diverse range of CCAs, activities, and holiday camps that support students' holistic development.
  • Work with schools and instructors to develop engaging and age-appropriate programs, including sports, arts, STEM, leadership, and adventure-based activities.
  • Continuously evaluate and enhance program offerings based on student participation and feedback.

Team Leadership & Coordination

  • Manage a small team, ensuring smooth collaboration and efficient execution of CCAs and holiday camps.
  • Provide guidance, training, and support to team members.
  • Delegate tasks effectively while maintaining oversight of operations and program quality.

On-Site Coordination & Supervision

  • Be present at the school and holiday camp locations during CCA sessions and camps to ensure smooth execution.
  • Supervise activities, ensuring student engagement, safety, and enjoyment.
  • Address any on-site operational challenges and ensure compliance with safety guidelines.

Scheduling & Administration

  • Coordinate schedules, activities, and resources efficiently to ensure smooth program execution.
  • Maintain accurate records of student participation, attendance, and progress.
  • Oversee logistical aspects such as facility bookings, instructor availability, and equipment management.

Instructor, Vendor & Invoicing Management

  • Recruit, onboard, and manage external instructors, coaches, and vendors for CCAs and holiday camps.
  • Handle invoicing and payment processing for external providers, ensuring timely transactions.
  • Ensure all instructors meet safety, qualification, and professional standards.
  • Act as the primary liaison between instructors, students, and parents to address concerns and feedback.

Student Engagement & Welfare

  • Foster a fun, safe, and structured environment where students can explore and develop their interests.
  • Identify and support students with exceptional talents, providing opportunities for competitions and showcases.
  • Ensure inclusivity and engagement for all students, catering to different age groups and skill levels.

Parent & Community Engagement

  • Communicate CCA options, schedules, and expectations to parents and students.
  • Handle parent inquiries and concerns regarding activities and camps.
  • Organize end-of-term showcases, performances, or exhibitions to celebrate student achievements.

Financial & Invoicing Responsibilities

  • Generate and manage invoices for CCA and holiday camp fees, ensuring timely payments from parents.
  • Track and manage payments to external vendors and instructors.
  • Maintain accurate financial records and liaise with the finance department for reconciliations.

Qualifications & Requirements:

  • Bachelor’s degree in Education, Sports Management, Business Administration, or a related field (preferred but not required).
  • Experience in managing school activities, CCAs, holiday camps, or event coordination.
  • Experience leading a small team, providing clear direction, and ensuring operational efficiency.
  • Highly organized with strong attention to detail to coordinate schedules, activities, and resources effectively.
  • Enthusiastic and passionate about working with students of all ages, particularly in co-curricular and holiday camp settings.
  • Strong leadership, problem-solving, and communication skills.
  • Ability to multitask and work independently in a hybrid setting.
  • Proficiency in handling invoicing, payments, and financial transactions.

Preferred Skills & Attributes:

  • Experience working in an international or private school environment.
  • Knowledge of co-curricular programs, holiday camp planning, and student development.
  • Familiarity with school management software and invoicing systems.
  • Understanding of risk management and safety procedures in extracurricular activities.
