A Project Claim Administrator is responsible for managing the administrative aspects of project claims, ensuring that all claims are properly documented, submitted, and processed in a timely manner. Their job scope typically includes the following:

1. Claim Preparation & Submission
Prepare and compile claim documents, invoices, and supporting evidence.
Ensure all claims are accurately documented and comply with contract terms.
Submit claims to clients, main contractors, or relevant authorities.
2. Verification & Documentation
Cross-check claim details against contracts, and work completion records.
check and verify sub-con claim ensure the sub-con claim is claim accordingly to the job completion.
Maintain accurate and organized records of submitted claims, approvals, and pending payments.
Follow up on missing or incomplete claim documents.
3. Follow-up & Payment Tracking
Monitor the status of submitted claims and follow up with clients on claim approval or SES status.
Communicate with stakeholders (e.g., project managers, finance teams, subcontractors) to resolve disputes or clarifications on claims.
Maintain a tracking system for outstanding payments and expected claim receipts.
4. Coordination with Project & Finance Teams
Work closely with project managers to ensure work completion aligns with claimable amounts.
Liaise with finance and accounting departments for payment processing and reconciliation.
Provide updates on claim statuses.
5. Compliance & Reporting
Ensure claims comply with contract terms, regulatory requirements, and company policies.
Prepare reports on claims submitted, approved, pending, and rejected.
Identify discrepancies and recommend solutions to improve claim efficiency.
6. Handling Disputes & Adjustments
Address claim disputes with clients or contractors and provide supporting documents for resolution.
Revise and resubmit claims when necessary, based on feedback or clarifications.
Ensure proper documentation of rejected or disputed claims for future reference.

Requirement:

  • At least 1 year of relevant experience with Diploma in Civil Engineering or related Engineering Discipline.
  • AutoCAD drafting knowledge is an advantage
  • Proficiency in Microsoft Office
  • Good communication skills
  • Able to meet tight deadline
  • Able to work in a team as well as independently
  • Salary will be commensurate with experience.

Pay: RM2,000.00 - RM3,000.00 per month
