General Purpose of the job

To ensure an efficient and compliant procurement and purchasing processes by reviewing and validating purchase requisitions, generating purchase orders and evaluating vendor performance. The role aims are to optimize procurement operations while adhering to the organization’s policies and procedures

Key Responsibilities:

· Managing Purchase Orders:

Processing, tracking, and maintaining records of purchase orders to ensure they are

completed and delivered as required.

· Vendor management :

Company liaison with vendors, assisting in registration selection and qualification.

Evaluate and analyse vendors’ performance.

· Contract Management:

Assisting in the preparation and management of contracts with suppliers, ensuring

compliance with terms and conditions, and keeping records of contract details.

· Processing Invoices and Payments:

Reviewing and matching invoices with purchase orders and receiving reports to ensure

accuracy before processing payments.

· Record Keeping and Documentation:

Maintaining accurate records of all procurement activities, including contracts, purchase

orders, and supplier communications, to ensure transparency and compliance with

company policies.

· Compliance and Reporting:

Ensuring that procurement activities align with company policies, legal regulations, and

industry standards. To assist in preparing procurement reports.

· Maintaining Supplier Databases:

Updating and maintaining a database of suppliers, including contact details, terms, and

performance records.

Requirements:

  • Bachelor’s degree in Accounting, Finance, Business Administration or a related field.
  • 1-2 years of experience in purchasing and procurement processes.
  • Strong knowledge in Excel and other Microsoft office applications.
  • Good at analytical, problem-solving, and communication skills.
  • High level of integrity, discretion, and attention to details.
