As the HR Generalist Manager, reporting to the Executive Director, People, & Admin, you will support various HR functions to align with the organization’s strategic goals.
This role is integral to maintaining efficient HR operations, focusing on payroll processing, insurance and medical claims management, recruitment support, employee relations, performance management, compliance, and reporting.
The ideal candidate will bring solid HR experience within multicultural settings, excelling in a proactive and detail-oriented approach to assist the HR leadership team.
Key Responsibilities
- Payroll Processing and Administration: Process monthly payroll, including calculating wages, deductions, and bonuses while ensuring accuracy and timely payment. Maintain payroll records in compliance with statutory requirements and company policies
- Insurance and Medical Claims Management: Oversee employee insurance and medical benefits, including managing claims processing, coordinating with insurance providers, and addressing employee inquiries to ensure timely and accurate resolution.
- Recruitment and Talent Acquisition Support: Assist in the recruitment and onboarding process by coordinating candidate outreach, screening, and background checks to support smooth hiring experiences aligned with the organization's DEI principles.
- Employee Relations and Engagement Assistance: Support in handling employee concerns and engagement activities, ensuring timely follow-ups and collaborating with team members to promote a positive work environment.
- Performance Management Support: Facilitate the performance management process by assisting department heads in documenting performance reviews and following up on developmental needs.
- HR Compliance and Reporting: Ensure compliance with Malaysian labor laws and internal policies by supporting regular audits, updating documentation, and preparing required reports accurately and on time
- HR Planning and Strategy Support: Contribute to HR strategy by providing research, analytics and insights for review by the Executive Director, People & Admin, supporting data-informed decision-making.
- Policy Implementation Assistance: Assist in implementing company policies and ensure employees are well-informed of updates, supporting reviews to align with organizational changes.
- Manage employee relations, including handling underperforming staff through performance improvement plans (PIP), counseling, and disciplinary actions in line with company policies.
- Act as a key advisor to management on employee behavior, performance issues, and conflict resolution strategies to maintain a positive and productive work environment.
Key Requirements
- Bachelor's degree in Human Resources, Business Administration or a related field. Professional HR certification (eg SHRM, CIPD) is an advantage.
- Payroll & Compliance Knowledge: Proficiency in payroll processing, knowledge of relevant payroll software, and compliance with Malaysian statutory requirements.
- Insurance & Claims Management: Familiarity with insurance and medical claim processes, with experience coordinating with providers and supporting employees.
- Knowledge of Malaysian Labor Laws: Solid understanding of employment legislation and regulatory requirements.
- Experience in developing HR policies for startups and pre-opening operations will be a bonus.
- Communication Skills: Strong interpersonal and communication skills with the ability to support stakeholder relationships effectively.
- Analytical Abilities: Detail-oriented with strong analytical skills for supporting data-driven processes.
- Organizational Skills: Excellent time management and organizational skills to handle multiple responsibilities effectively.
- Cultural Competence: Ability to work within multicultural teams, with a sensitivity to diverse cultural backgrounds.
