Short Summary This Role :

Our client are seeking a dedicated and organized Administrative Clerk with strong experience in office administration, logistics, and handling travel arrangements for expatriates. The ideal candidate will play a crucial role in providing support to the administrative team, managing day-to-day operations, and ensuring efficient office logistics.

Job Responsibilities:

Company’s car and driver management:

  • To compile driver’s daily report and prepare driver’s monthly overtime claim for submission.
  • To monitor and arrange for company’s car maintenance, including car wash, periodical car service and car repairs.
  • To coordinate drivers and cars arrangements between expatriates and for guests from Japan/other countries.

Logistics and travel arrangement:

  • To arrange flight booking and hotel reservation for expatriates and staff for their business trips.
  • To arrange for meeting room, office access cards and restaurant & golf reservations for guests.
  • To get quotation and make arrangement for replacement drivers or limousine services for guests from Japan/other countries.

Office administration:

  • Processing staff claims and reimbursement.
  • Assisting in office invoices processing and issue of purchase orders.
  • To assist in administering office utilities, fixed assets, and office facilities.
  • To answer phone calls and attend to visitors.

IT support:

  • Monitor and manage copier machine.
  • To coordinate with IT vendors on IT management

Other Administrative Work:

  • Assist in the arrangements of company events
  • Filing of documents and update & maintaining the filing system
  • Any other administrative work assigned by supervisor .

Job Requirements:

  • At least have Diploma in Business Administration, or Private Secretarial Course
  • Minimum 2-3 years’ experience as an Administrative Assistant or Personal Assistant
  • Knowledge of office management systems and procedures
  • Experience in travel & logistics arrangements
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, & Microsoft 365
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
