About the Role
This is a senior role within the Contract Management team and is expected to drive contract and commercial outcomes for AIA with our third-party vendors, while also mentoring other team members to enhance their performance and capability.Contract Management for third-party vendors, including leading on contract implementation, managing contract renewals, managing tenders / request for proposals, providing advice to stakeholders on key contract clauses, engagement on projects or special assignments supporting the Contract Management team and/or internal stakeholders across AIA’s local business units.
This includes leading on tasks and activities relating to contracting strategy, contract negotiations, commercial negotiations, contract reviews, clause drafting, contract governance, and the ongoing management and administration of contracts to drive increased value from vendors and reduction of risks for AIA.
Contract Management for third-party vendors, including implementing contracts, managing contract renewals, managing tenders / request for proposals, providing advice to stakeholders on key contract clauses, engagement on projects or special assignments supporting the Contract Management team and/or internal stakeholders across AIA’s local business units.
This includes tasks and activities relating to contracting strategy, contract negotiations, commercial negotiations, contract reviews, clause drafting, contract governance, and the ongoing management and administration of contracts to drive increased value from vendors and reduction of risks for AIA.
Follow the Group Technology IT Contract Management Guidelines and AIA’s Policies and Standards for all new and existing contracts. Key responsibilities include:
Responsibilities:
- Leading on contract negotiations with third party vendors – including coordinating and collecting input from internal cross functional teams;
- Driving contract and commercial outcomes with vendors;
- Mentoring other team members on contractual and commercial best-practices and approaches to improve the overall performance of the team, and the outcomes the team achieves;
- Leading engagements and communications with Executives stakeholders across the business to ensure their needs are being met and contract and commercial outcomes are being achieved. Undertaking escalations where required with guidance from Associate Director, Contract Management;
- Providing advice on the overall contracting strategy to meet the business objectives, budget, and risk parameters;
- Leading the collection and creation of contract-related requirements for insertion into tender documents using existing templates;
- Leading competitive tenders that are valued under US $1M, and having extensive contract and commercial input into tenders valued above US $1M;
- Researching existing vendors and contracts within the contract repository that can be leveraged;
- Evaluating vendors during the competitive bidding process;
- Reviewing and drafting contractual documents such as master agreements, statements of work, order forms, and NDAs using existing AIA templates or vendor documents;
- Identifying commercial or contractual risks while identifying solutions to mitigate and manage;
- Executing contracts according to AIA’s Standards and Guidelines;
- Leading and managing the renewal and updates of third-party agreements and statements for work;
- Managing contract changes;
- Corresponding with vendors in regards relationship and contract matters;
- Coordinating and participating in meetings;
- Managing contract disputes and their resolution;
- Developing contract documents such as contract templates;
- Advising stakeholders on contract status, questions, and clause interpretations;
- Forming strong relationships with cross functional teams and AIA Business Units across the region during both pre-contract and post contract activities and driving adherence to AIA’s processes, standards, and policies;
- Developing content and advising stakeholders on contract management: best practices, processes, and templates.
- Driving continuous improvement in managing contracts and vendors.
