POSITION SUMMARY:

The Document Controller is responsible for managing, organizing, and maintaining all company documentation as stated in the Avisena Document Control Standard Operating Procedure (SOP). This role ensures that all documents are current, accessible, and properly stored in accordance with regulatory requirements and organizational policies.

DUTIES & RESPONSIBILITIES:

1. Document Management:

· Maintain an organized filing system for both physical and electronic documents.

· Ensure all documents are properly labeled and easy to retrieve.

· Track and manage the distribution of documents to relevant personnel.

· Regularly update and archive documents that are no longer in use as per retention policies.

· Disposing of the documents that are no longer needed.

· Providing to the form controller all approved forms for registration

· Providing access and retrieval of the documents as requested.

2. Compliance:

· Verifying the contents of the documents.

· Ensure all documentation meets regulatory and accreditation standards.

· Support the preparation of documents for audits and inspections.

· Work closely with the compliance team to ensure documentation aligns with industry standards.

3. Quality Assurance Support:

· Assist in the preparation of quality reports and analysis.

· Support the quality assurance team in collecting and organizing data.

· Coordinate with various departments to ensure timely submission of required documentation.

4. Training and Support:

· Provide training to staff on document management procedures.

· Assist staff in accessing and using the document management system.

· Serve as a point of contact for document-related inquiries and issues.

5. Continuous Improvement:

· Identify opportunities for improving document management processes.

· Implement best practices in document control and quality management.

· * Participate in continuous quality improvement initiatives.

ACADEMIC QUALIFICATION: Diploma or Bachelor’s degree in a relevant field (e.g., Administration, Quality Management).
