- Candidates are expected to combine hands-on expertise with strategic thinking to deliver impactful automation initiatives, collaborate with stakeholders, and ensure smooth transitions in business processes.
JOB RESPONSIBILITIES
Innovation and Process Excellence
Process Analysis and Continuous Improvement
- Conduct thorough analyses of existing business processes to identify bottlenecks, redundancies, and areas suitable for automation.
- Utilize DMAIC methodology (Define, Measure, Analyze, Improve & Control) and lean techniques to improve processes prior to automation.
- Work closely with stakeholders to understand the nuances of current processes and recommend re-engineering or efficiency improvements where feasible.
Demand Management and Stakeholder Collaboration
- Manage the process pipeline, overseeing process demand and measuring the cost-benefit of proposed automations.
- Prepare and manage required documentation for demand management activities (e.g., posters, nomination forms, email communication).
- Facilitate workshops and meetings with stakeholders at all levels, gathering requirements and feedback for continuous process optimization.
- Collaborate closely with process owners and cross-functional teams to ensure alignment with business objectives and to maintain transparent communication.
Requirements Gathering and Documentation
- Prepare detailed business cases for proposed automations, outlining expected benefits, required investments, and risk assessments.
- Gather and document comprehensive business requirements in the Process Design Documents (PDD), capturing the current (As-Is) process and proposing the future (To-Be) process.
- Conduct Subject Matter Expert (SME) sessions to evaluate nominated processes. Document and communicate outcomes or feedback to users.
Coordination of UAT and Collaboration
- Coordinate User Acceptance Testing (UAT) with business users, ensuring smooth test execution and collaborating with developers to refine initial test scripts.
- Monitor UAT progress, gather user feedback, and ensure timely resolution of issues or defects.
- Communicate project status, risks, and mitigation plans to relevant stakeholders.
Change Management and Training
- Manage transitions and change processes, ensuring minimal disruption to daily operations and a seamless shift to automated workflows.
- Develop and deliver training materials to help end-users adapt to new systems and business processes.
- Organize awareness and feedback sessions that highlight the benefits of automation and encourage continuous improvement efforts.
Project Management
- Oversee project timelines, resources, and dependencies, ensuring successful delivery of automation initiatives.
- Coordinate cross-functional teams, keeping stakeholders updated on project milestones and any necessary adjustments.
- Evaluate and maintain the status, timeline, and resource planning for all projects within the department or assigned scope.
Regulatory and Compliance Considerations
- Ensure that business processes and proposed changes comply with relevant laws, regulations, and industry standards.
- Conduct risk assessments to identify potential compliance issues and mitigate them appropriately.
- Adhere to standardized governance frameworks, collaborating with the Governance & Design Authority Lead to ensure the RPA program aligns with organizational requirements.
Management Reporting
- Prepare regular (e.g., quarterly) reports for upper management review and feedback.
- Establish, maintain, and monitor dashboards for reporting progress on automation initiatives and performance metrics.
- Update and maintain the latest document to reflect the most current information regarding automated processes and departmental statistics.
Process Inventory
- Consolidate, analyze, and maintain an inventory of departmental processes, tracking their automation status and identifying opportunities for further optimization.
- Collaborate with business users to evaluate pain points and areas suitable for future automation.
- Ensure a continuous feedback loop to promote ongoing improvements in process efficiency and automation.
JOB REQUIREMENTS
- Bachelor’s degree in Business Administration, Computer Science, Information Systems, or other related qualification recognized by the government.
- Minimum 5 years of experience in business analysis, process improvement, or related fields.
- Familiarity on working with automation tools (e.g., Blue Prism, UiPath, Automation Anywhere, Power Query) and proficiency in process mapping or documentation is preferred.
- Strong analytical and problem-solving skills, with experience using DMAIC or other Lean/Six Sigma methodologies.
- Adept at stakeholder management, facilitating requirements-gathering sessions, and driving consensus.
- Experience in change management, user training, and project coordination.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills in English and Bahasa Malaysia; ability to articulate technical concepts to non-technical audiences.
- Able to work effectively in a fast-paced, dynamic environment and adapt to changing business conditions.
- Detail-oriented, proactive, and results-driven with strong interpersonal and team collaboration skills.
- Malaysian citizen.
- Pass the Malay Language including an oral test at the Sijil Pelajaran Malaysia (SPM) level or an equivalent qualification recognized by the Government.
