- Manage the Director’s calendar, ensuring IT is up to date, prioritized, and organized.
- Coordinate and schedule meetings, conferences, and travel plans, ensuring all are handled efficiently.
- Prepare materials for meetings, including agendas, reports, and presentations.
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Screen and direct calls and emails, responding on behalf of the Director when appropriate.
- Arrange business travel, including flights, accommodations, and ground transportation.
- Prepare travel itineraries, ensuring the Director’s travel schedule aligns with their professional commitments.
- Ensure meeting are in place, including technology setup, agendas, and follow-ups.
- Prepare reports, presentations, and correspondence for the Director as required.
- Provide personal assistance as needed, including managing personal appointments and errands.
- Assist the Director in various projects by providing administrative support, conducting research, and following up on deliverables.
- Maintain a high level of confidentiality in all dealings with sensitive information and correspondence.

- Ability to work with minimal supervision, good communication skills, able to liaise with other departments.
- Familiarity with software (Excel and Word)
- Strong organizational skills, attention to detail, and the ability to multitask effectively.
- Excellent written and verbal communication skills, along with strong interpersonal skills.
- Knowledgeable in office management practices and administrative procedures.
- Flexible and adaptable to handle changing priorities and deadlines.
- Preferably able to read, write and communicate in Mandarin, English and Malay.
- Candidates who are fluent in Mandarin will be given priority.
- Working hours: 9AM-6PM, Monday to Friday, two days offdays
