Document Controller
1. Document Control & Record Management
o Maintain and update records in the Quality Management System (QMS) to ensure compliance with ISO 9001 standards.
o Ensure that all documents received from internal departments are properly recorded, registered, and filed using relevant forms.
o Maintain both soft and hard copy documents, ensuring proper indexing, storage, and retrieval.
o Monitor document revisions, updates, and approvals to prevent inconsistencies.
2. Training Coordination & Support
o Assist in organizing internal and external training sessions related to QMS, safety, and project requirements.
o Coordinate with trainers, employees, and management to schedule and track training attendance and certification compliance.
o Maintain records of training materials and employee participation.
3. Interdepartmental & External Liaison
o Act as a point of contact for document control matters, coordinating with internal departments, contractors, consultants, and regulatory bodies.
o Ensure timely distribution of controlled documents to relevant personnel.
o Address document-related inquiries and discrepancies from stakeholders.
4. Compliance & Audit Support
o Ensure document management practices align with company policies and ISO 9001 certification requirements.
o Support internal and external audits by providing necessary documentation and assisting in audit preparations.
o Implement corrective actions for any document control deficiencies found during audits.
5. Administrative & Technical Support
o Prepare reports, logs, and document summaries as required by management.
o Utilize Microsoft 365 tools (Teams, Excel, Word, etc.) for document processing, communication, and reporting.
o Assist in process improvement initiatives related to document handling and quality management.
6. Site Support
o Ensure that remote sites comply with the company's document control and QMS standards.
Requirements:
- Degree in Civil Engineering, Building, Business Studies, or a related field.
- Minimum 4 years of experience in document control, preferably within an ISO 9001-certified environment.
- Proficient in Microsoft 365 applications (Teams, Excel, Word, etc.).
- Strong organizational skills, with the ability to manage multiple tasks efficiently.
- Fluent in Bahasa Malaysia and English (both written and spoken).
Job Types: Full-time, Permanent
Pay: RM3,000.00 - RM3,400.00 per month
