Position Overview

As an Assistant Project Coordinator for infrastructure projects within our NGO, you will provide fundamental administrative and logistical support to ensure smooth project implementation. This entry-level position offers an excellent opportunity to gain hands-on experience in infrastructure development projects while supporting communities in need.

Key Responsibilities
Administrative Support

  • Maintain organized project files, both digital and physical
  • Schedule and prepare for project meetings, including room bookings and material preparation
  • Take and distribute meeting minutes with clear action items
  • Track project correspondence and ensure timely follow-ups
  • Assist with data entry and maintenance of project tracking systems
  • Process basic project documentation and forms

Logistical Coordination

  • Arrange transportation and accommodation for field visits
  • Coordinate with suppliers and vendors for project materials
  • Support inventory management of project supplies
  • Assist with organizing community engagement events
  • Coordinate document collection for field teams
  • Help manage project calendars and scheduling

Communications Support

  • Draft basic project communications and updates
  • Compile information for project reports
  • Assist in preparing presentation materials
  • Support documentation of project activities through photos and basic reports
  • Help maintain communication with community representatives
  • Update project stakeholders on meeting schedules and agenda items

Financial Processing

  • Collect and organize project receipts and invoices
  • Assist with basic budget tracking
  • Process simple expense claims
  • Support procurement paperwork
  • Help prepare financial documentation for reporting
  • Maintain records of project expenditures

Qualifications Required

  • Diploma or Bachelor's degree in Business Administration, Project Management, or related field
  • 1-2 year of work experience in administrative or support roles
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Good attention to detail and accuracy
  • Basic understanding of administrative processes
  • Ability to communicate effectively in English and Bahasa Malaysia

Preferred

  • Interest in community development and infrastructure projects
  • Experience volunteering or working with NGOs is value added
  • Basic understanding of project management concepts
  • Familiarity with database management
  • Additional language skills relevant to operational areas

Working Environment

  • Based in Shah Alam, Selangor office with occasional field visits

  • May require flexible hours during project-intensive periods

Job Types: Full-time, Contract

Pay: RM2,000.00 - RM2,500.00 per month
