Position Overview
As an HR Assistant at our NGO, you'll provide comprehensive support to our Human Resources department, leveraging your 2-4 years of experience to handle more complex HR functions with greater independence. This mid-level role combines administrative efficiency with professional HR expertise to strengthen our organization's people management capabilities.
Key Responsibilities
HR Administration & Systems Management
- Maintain comprehensive employee records and HR documentation with attention to detail and compliance
- Process HR transactions including employment contracts, promotions, transfers, and separations
- Administer leave management and attendance tracking systems
- Manage and optimize HRIS data entry, reporting, and maintenance
- Support payroll processing by validating time records, allowances, and deductions
- Draft routine HR correspondence and communications
Recruitment & Talent Acquisition
- Coordinate end-to-end recruitment processes from job posting to offer acceptance
- Screen resumes and conduct preliminary candidate assessments
- Schedule and coordinate interviews with hiring managers and candidates
- Prepare and process new hire documentation and background verification
- Conduct new employee orientation and onboarding sessions
- Track recruitment metrics and prepare periodic reports
Employee Relations & Engagement
- Serve as first point of contact for employee inquiries regarding HR policies, benefits, and procedures
- Provide guidance on basic interpretation of employment policies and benefits
- Support performance management processes and documentation
- Assist in organizing staff events, recognition programs, and engagement initiatives
- Help maintain positive workplace culture aligned with NGO values
- Maintain strict confidentiality regarding sensitive employee matters
Compliance & Reporting
- Ensure HR practices comply with Malaysian employment laws and regulations
- Assist in preparing compliance reports for management and regulatory requirements
- Support health and safety initiatives and documentation
- Assist with audit preparations and documentation
- Monitor employee documentation expiration dates (work permits, certifications, etc.)
- Help compile HR metrics and analytics for management reporting
Training & Development
- Coordinate training sessions and professional development activities
- Maintain training records and certification documentation
- Assist in identifying training needs through feedback collection
- Support performance improvement initiatives
- Help organize knowledge sharing sessions within the organization.
- Follow and respect the work SOPs that have been practiced in the company throughout the work.
- Carry out other work deemed reasonable under this contract.
Qualifications Required
- Diploma or Bachelor's degree in Human Resources, Business Administration, or related field
- 2-4 years of progressive experience in HR support roles
- Solid understanding of Malaysian employment laws and HR best practices
- Proficiency with HRIS systems and Microsoft Office applications ie Ms Excel
- Strong organizational skills with ability to handle multiple priorities
- Excellent communication skills in English and Bahasa Malaysia
- Demonstrated discretion when handling confidential information
Working Environment
- Based in our Shah Alam, Selangor office
- Occasional travel to project sites may be required

Pay: RM2,000.00 - RM2,500.00 per month
