About this role
As an Administrative Executive, you will be responsible for providing administrative support for day-to-day operations to the business development department. The role involves handling documentation, coordinating with various stakeholders, and managing day-to-day administrative tasks related to business development activities.
Key Responsibilities:
1. Documentation Management
- Prepare and maintain tenancy agreements, contracts, and other relevant documents.
- Organize and file documents for easy retrieval and reference.
- Ensure accurate and up-to-date data entry in leasing databases.
- Maintain records of property listings, available spaces, leasing transactions and landlords.
- Prepare monthly master tenant listing report / outstanding report.
- Assist in preparation of reports.
2. Leasing support
- Communicate effectively with internal teams and external partners to ensure timely and accurate information flow.
- Prepare Letter of Offer (LOO) and liaise with legal team for Tenancy Agreement.
- Monitor critical dates such as expiry dates, options to renew, termination, etc.
- Assist in conducting local and sub-market analysis for existing and other properties to ensure accurate marketing and competitive pricing with regards to market rent, terms etc.
- Assist in rental calculation, invoice approvals.
3. Other duties and responsibilities
- Prepare agendas, meeting schedules/itinerary for trips and preparing documents, presentation materials, and facilities for meetings.
- Take minutes for meeting across all countries and clean up the ad-hoc updates by colleagues before presenting for the next meeting
- Assist in preparing the decks for brands submission for internal review prior to brand submission.
- Maintain files for all proposals across all countries.
- Any ad hoc duties as assigned by superior from time to time.
4. Personal Development
- To have and maintain at all times competent knowledge in areas of duty.
- Staff to conduct themselves in a proper and professional manner in compliance with the Code of Business Conduct.
POSITION SPECIFICATION :
1. Education
- Minimum a Diploma/ in any discipline or tertiary education.
2. Professional Experience
- Preferably 1-2 years’ experience in administrative role in a related field. Fresh graduates are encouraged to apply.
