Job Summary:
This role is responsible for the full spectrum of operations activities. The ideal candidate must be able to support the team members to execute operations related tasks/projects to achieve the company objectives. The ideal candidate also needs to have good communication and reporting skills inside the company and have good networking with vendors.
Job Responsibilities:
- Operations Management: Collaborate with the Business Operations Manager to plan, implement, and monitor programs aimed at improving operational efficiency. Ensure strict adherence to Standard Operating Procedures (SOPs) to maintain quality and consistency.
- Research and Cost Analysis: Conduct research and sourcing activities to identify cost-effective solutions for operational and project needs. Perform cost analysis to ensure operations remain within budget without compromising quality.
- Cross Department Coordination: Work closely with various departments to ensure the smooth execution of tasks and projects. Track project progress, ensure timelines are met, and provide regular updates to management.
- Administrative Duties: Handle day-to-day administrative tasks, including preparing reports, maintaining records, and managing correspondence. Maintain accurate and organized documentation to support operational efficiency.
- Inventory and Logistics Management: Oversee warehouse inventory to ensure stock/asset accuracy and availability. Plan and coordinate logistics arrangements for timely delivery and setup of operations or events.
- Vendor and Stakeholder Management: Build and maintain strong relationships with vendors to support operational needs. Communicate requirements clearly to ensure timely and quality delivery of goods and services.
- Project and Event Support: Assist in planning, coordinating, and executing projects and events. Participate in UAT testing to ensure system functionality meets business requirements. Provide on-ground support during events to ensure smooth execution.
- Budget Tracking and Compliance: Monitor and track expenses to ensure they align with financial goals and compliance standards.
- Reporting and Accountability: Prepare detailed reports on task progress, project outcomes, and operational challenges. Highlight achievements and areas for improvement in periodic updates to Business Operations Manager.
- Ad-Hoc Assignments: Take on additional responsibilities as required by management and adapt to changing priorities.
