Overview

The Administrative Support area is responsible for providing administrative support to management teams or product areas.

Responsibilities

Essential responsibilities include:

  • Manages correspondence by responding emails and sorting mail/ packages
  • Manages outgoing deliveries and couriers for staff
  • Answers phone calls and transfers them as necessary
  • Managing front-end communication with visitors and clients
  • Ensures adherence to relevant company administrative procedures and policies
  • Assists to set up new user profile with travel agents for staffs’ traveling purpose
  • Assists in planning and arranging in-house events, including organizing catering
  • Assists in raising purchase requisitions for all office administration, facilities account/finance requests
  • Liaising with the business to confirm goods/services are received according to the PO
  • Handles reconciliation of corporate credit cards expense report including follow-up invoices from requester prior submission of report
  • Maintains stationery and office stock lists and orders office supplies as needed
  • Handles business card orders for all staff
  • Manages staff requests/ reports/ issues related to office and common areas management within building
  • Overseeing the maintenance of office facilities and equipment including engaging contractors for installations/fit outs and arranging maintenance of air conditioning, kitchen appliances, lights etc.
  • Manages access keys for building and tenancy, and access cards for staffs, visitors and engaged contractors
  • Attends meetings organized by the Building Management on the building updates when requested
  • Performing other ad-hoc duties when needed

Qualifications

Experience/Qualifications:

  • Minimum of 5 years’ experience as an Office Manager
  • Strong organizational skills and meticulous attention to detail.
  • Demonstrate professionalism, cooperation, courtesy, assertiveness and maintain confidences.
  • Provide back-up support to management.
  • Perform other duties as assigned.
  • BA degree preferred.
