Key Responsibilities:
Recruitment and Onboarding:
- Assist in the recruitment process including job postings, screening candidates, scheduling interviews, and preparing job offers.
- Maintain accurate employee records (personal details, performance reviews, disciplinary records, etc.).
- Assist in the recruitment process, including posting job advertisements, reviewing resumes, scheduling interviews, and conducting reference checks.
- Prepare offer letters, employment contracts, and onboarding documents for new hires.
- Coordinate new employee orientations and ensure smooth integration into the company.
- Guidance for new User Leave & claims application via mobile apps.
- Oversee employee onboarding and orientation programs, ensuring a seamless transition for new hires.
Employee Relations:
- Support the development and implementation of employee engagement activities
- Serve as a point of contact for employee inquiries and resolve issues regarding policies, benefits, and workplace concerns.
- Assist with performance management processes, including tracking employee performance reviews.
- Preparation of confirmation letter, extension probation, increment letter and filling to personal file.
Employee Records Management:
- Maintain up-to-date employee records, including personal details, employment history, training, and certifications.
- Ensure confidentiality and compliance with data protection regulations.
Training and Development:
- Assist in organizing training, competency management, professional development programs and/or requirements
- staff bonding activities
- Monitoring company HRD Corporation Grant application and provide monthly Levy statement to finance department.
- Keep track of employee training records and certifications.
Payroll Processing:
- Prepare and process accurate payroll for all employees on a regular basis.
- Ensure proper deductions for taxes, benefits, and other withholdings.
- Reconcile payroll discrepancies and resolve issues promptly.
Payroll Reports:
- Generate payroll reports and ensure timely submission to relevant authorities.
- Track and report on bonuses, commissions, and other payroll-related calculations.
- Ensure payroll records are accurate and up to date.
Tax, Statutory Contribution and Compliance:
- Ensure timely remittance of payroll taxes, Social security contributions, Employees Provident Fund, HRD Corp levy and other statutory deductions.
- Prepare and file any necessary government reports related to payroll.
- Liaise with government statutory when required: KWSP, PERKESO, LHDN, HRDC,JTK, IR, MBSP, IMMIGRATION & etc.
Employee Benefits:
- Manage employee benefits programs, including Group insurance, medical claims, leave entitlements, uniforms and etc.
- Ensure employees are aware of their benefits and assist in resolving benefit-related inquiries.
Time and Attendance:
- Maintain employee attendance records and manage leave requests via mobile apps.
- Ensure compliance with company policies regarding attendance and leave.
Administrative Support:
- Provide administrative support to ensure efficient operation of the office (managing correspondence, CCTV, organizing Access card, meetings).
- Prepare and maintain office documents, files, and records.
- Coordinate and manage office supplies and inventory.
- Handle employee grievances and work as a liaison between staff and management.
- Maintain confidentiality and professionalism in handling sensitive company and employee information.
- Contribute to the improvement of administrative processes and HR workflows to improve efficiency and employee satisfaction.
Qualifications and Skills:
- Diploma, Bachelor’s degree in Human Resources, Business Administration, or related field.
- Proven experience 2- 3 years in human resources, administration, or a similar role.
- Strong knowledge of HR functions, labor laws, and administrative procedures.
- Proficient in Microsoft Office and HR management software (e.g., Fingertech, WinCom, SQL Payroll & etc ).
- Excellent organizational and multitasking abilities.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to work independently and in a team-oriented environment.
- Attention to detail and ability to handle confidential information.
- Experience with payroll processing is an advantage.
