Job Overview: We are looking for a responsible, detail-oriented, and proactive Accounts cum Administrative Executive to handle accounts, purchasing, administrative, and HR support tasks. The candidate should have strong organizational skills, logical thinking, and a focus on cost-saving and efficiency. ________________________________________ Responsibilities: 1. Purchasing & Inventory Management: • Purchase office utilities, packaging materials, carton boxes, paper, stationery, consumables, etc. • Keep track of inventory levels and usage of packaging materials and office supplies. • Compare pricing from different suppliers, select cost-effective options, negotiate for better rates. • Monitor and control stock usage, avoid wastage, and help the company save costs. 2. Accounts & Finance Support: • Perform accounts data entry accurately (invoices, CN, DO, receipts, statements, etc.). • Issue invoices, quotations, credit notes, delivery orders, receipts, and statements to customers and resellers. • Check and ensure payment received tally with POS system. • Follow up and collect payments from resellers/customers on time. • Arrange payments to suppliers, manage petty cash. • Maintain clear, organized, and systematic filing/documentation records. 3. Administrative & HR Support: • Keep track of staff attendance, overtime, emergency contact info, staff welfare, birthdays, etc. • Assist in hiring part-timers or new staff when required. • Help prepare staff-related documentation and letters. 4. Licensing & Grants Application: • Handle renewal of government licenses (e.g., MBPP license, Halal certification, HACCP, etc.). • Apply for relevant government fundings, grants, and incentives. • Prepare necessary supporting documents for application/renewal. 5. Other Duties: • Support day-to-day office administrative operations. • Assist management in miscellaneous tasks as required. • Maintain a high level of accuracy, common sense, and logical thinking in daily work. • Continuously suggest process improvements to streamline operations. ________________________________________ Requirements: • Minimum Diploma/Degree in Accounting, Business Administration, or equivalent. • 2+ years of working experience in accounting & admin roles. • Proficient in Microsoft Office (Excel, Word) and accounting software. • Strong attention to detail, good organizational & multitasking skills. • Responsible, proactive, logical, and cost-conscious. • Able to work independently and as part of a team.
