Primary Role: • Responsible for the full range of recruitment, including but not limited to advertising, screening, interviewing and selection. • Assist management to define the hiring score-based criteria for each hiring position. • Formulate the hiring panel with respect to respective position after the approval from management. • Handle on-boarding and off-boarding process, including preparation of related letters and reports. • Stay up to date on local labor laws and amendments, identifying potential conflicts with the Company's employment agreement terms and conditions, and escalating concerns as needed. • Assist in ensuring that employment agreements in Malaysia and overseas comply with:  Local labor laws and regulations  Company’s operations and policies  Company’s philosophy and values. • Responsible for work pass administration (work pass applications, renewals, issuance and cancellation) and related matters. • Maintain and update employee records in Timesoft payroll system and ensure completeness and accuracy of data updated for payroll processing • Administer training related matters, including coordination and enrolment of courses, update & maintain training record and evaluation forms. • Manage and administer benefits (e.g. medical). • Maintain and update the database for the CVs of the new hires, including their competency certificates and essential documents required for business needs. • Administer performance management processes in employment confirmation, and year end appraisal. • Prepare and submit monthly HR Report in a timely and accurate manner. • Participate and submit statutory surveys on manpower. • Attend to HR related enquiries and matters. • Promote employee engagement together with discipline and adherence to the Company’s various policies. • Participate in ad-hoc assignments, projects and assist in communication sessions as and when required. Secondary Role • Arrange travel logistics for the Malaysian and expat crew, including: o Flight bookings o Transportation arrangements o Hotel booking. • Manage timesheets in collaboration with the Base Supervisors from KSB and ASB. • Oversee the day-to-day management of the KL office, including: o Housekeeping and maintenance o Lease agreement administration o Access control and security • Serve as the front desk receptionist, responsible for: o Greeting and assisting visitors o Managing visitor access and registration o Providing general administrative support
