Manage employee’s travel request and its related process such as travel visa application, bookings, travel invitation etc. • Organize and drive the logistics of site related meetings. This includes room reservation, recording meeting minutes, invitation, and related logistics. • Manage the agenda and logistics of Visitor/Guest at Site. • Maintain up-to-date email distribution list, Penang Leadership • Team communication channel and news page on company page. • Responsible for site related administrative tasks includes but not limited to stationery management, meeting attendance log, site gifts, meals arrangement, expenses claims and event management. • Assist Site Lead on coordination, support, and administration of the Site including preparation of presentation / analytical material using relevant software such as MS.PowerPoint, MS.Word, MS. Excel. • Ensure Site administration tasks are well maintained by working closely with other support functions i.e. Facilities / Human Resources (HR) / Environmental, Health & Safety (EHS) / Security etc. • Manage and administer shopping cart, good receipt process, record retention, filing and related activities for the site. • Extra work hours / work out of standard office hours are to be expected especially when the Site receives guest / visitor or organize ad-hoc events. Replacement / flexibility hour will be granted accordingly. • Assist leads/managers in organizing/sourcing training, HRDF claims • Responsible for incoming duty/tax custom clearance • Manage procurement (inclusive SMS order, SB, PO, DO/Invoice) and logistics/shipment • Oversee HVI cycle count and inventory (check in out) system, weekly, monthly reports • Must be fluent in English
