  • Assist the Director in managing their schedule, including coordinating meetings(take and distribute minutes), appointments, and travel arrangements.
  • Conduct research and compile data related to ongoing cases and business initiatives.
  • Conduct research and compile information as needed for meetings and projects. Act as a liaison between the executive and other staff members or external stakeholders.
  • Prepare and organize business correspondence, letters, reports, and presentations for meetings and stakeholders.
  • Handle incoming calls and communications, directing inquiries as appropriate.
  • Communicate with internal and external stakeholders to gather information and provide updates.
  • Follow up on business matters, ensuring that projects and cases are progressing as planned. Monitor project timelines and ensure deadlines are met.
  • Maintain an organized filing system and manage confidential documents related to business cases and projects.
  • Perform general administrative tasks, such as data entry, expense tracking, and office supply management.
  • Assist in the organization of events, meetings, and team activities. Help coordinate team meetings and assist with event planning and logistics.
  • Consistently ready to undertake special assignments but not limit to office operation, admin task, human resource, or any ad-hoc functions and related duties assigned by the management.
  • Must be able to read and write in Mandarin due to needs of dealing with client in China
  • Bachelor’s degree in business administration or related field preferred.
  • Proven experience as a personal assistant or in a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • High level of integrity and professionalism in handling confidential information.
