RESPONSIBILITIES

  • Manage personnel records and files ensuring data is up to date, accurate and confidential.
  • Keying in new hire staff database, OT, allowances, expenses claims
  • Check and ensure the accuracy of the payroll
  • Arrange monthly payment to statutory bodies
  • Prepare monthly payroll report for account dept
  • Monitor leave
  • To monitor all the claims are submitted by 5th of every month
  • Separate all the employees’ claim and overtime by project and chop received
  • Ensure all the claims with original receipt and not double claim
  • Calculate and check line by line on their expenses claim and overtime claim
  • Inform the personnel if they over claim, under claim or without attached original receipt
  • Photostat the rejected claim before returning to the personnel
  • Prepare monthly spreadsheet on claim and overtime claim
  • Send all the claim and overtime form to the respective HOD to approve and final approval from Executive Director
  • Differentiate reimburse and non-reimburse claim
  • Photostat all the reimbursable claim and overtime claim and submit to Finance department
  • Answer all the call from employees to check their status of their claim
  • Update all employees monthly medical and dental record and monitor their yearly entitlement
  • Prepare individual spreadsheet for the medical & dental and forward to the person who exceed their yearly limit
  • Prepare monthly reports
  • Any other duties on ad-hoc basis as and when required

JOB REQUIREMENTS

  • Degree in Human Resources or Business Administration and Management or equivalent
  • 2-4 years experience in over all HR with oil & gas company
  • Experience communication with offshore personnel
  • Experience in processing payroll or claims
