
Purchasing Assistant
This role assists the Purchasing Executive with daily project administrative tasks so that they can spend their time on operations and strategic development with an aim towards resolving current and future order issues. Purchasing Assistant compiles and sends purchase orders after Purchasing Executive reviews and approved by Finance & Admin Manager. This role verifies orders are received by vendors and processed. The Purchasing Assistant compiles acknowledgements for Purchasing Executive review and actively manages all administrative tasks to assist Purchasing Executive.
Measures of Success:
- Purchase orders are placed in a timely manner to ensure on time delivery to the department request.
- Transaction reports are accurate and up to date.
- Paperwork is accurate, up to date and well organized to expedite review process.
- Immediately identifies purchase order issues and forwards to the Purchasing Executive for resolution.
- Claims are brought to the attention of the Purchasing Executive in time for each Vendor’s terms & conditions with no cost
Duties/Responsibilities:
1. Assists sorting of specs by vendors for Purchasing Executive’s review.
2. When ready to be sent, scans PO’s and email to vendors verifying receipts.
3. Documents purchase orders in project transaction report.
4. Compiles acknowledgements for Executive review.
5. Updates transaction summary report daily.
6. Monitors receipt reports and updates transactions summary reports daily.
7. Notifies Purchasing Executive of any vendor shipping delays to be addressed.
8. Monitors receipt reports for any file claims.
9. All other duties as assigned by Purchasing Executive.and trends.
Job Types: Full-time, Permanent
Pay: RM1,700.00 - RM1,800.00 per month
