As a Storekeeper, your role is focused on the efficient management of goods and materials within a storage facility or warehouse. The tasks and responsibilities are centered around inventory control, organization, and maintaining the overall smooth operation of the store or warehouse. Below are the key tasks and responsibilities for this position:

1. Inventory Management

  • Receiving Goods: Ensure all incoming materials, goods, or products are received, inspected, and logged into the system.
  • Stock Monitoring: Keep track of stock levels, ensure products are organized, and identify when items are low or out of stock.
  • Inventory Control: Regularly perform physical counts of stock and reconcile them with digital records. Conduct periodic stock audits and stock-takes.
  • Stock Rotation: Implement FIFO (First-In, First-Out) or LIFO (Last-In, First-Out) inventory management techniques to minimize product wastage or damage.
  • Reordering Supplies: Monitor stock levels and initiate orders when supplies are running low, ensuring sufficient inventory is available.

2. Storage and Organization

  • Warehouse Organization: Organize goods in the store or warehouse in a logical and easily accessible manner, ensuring that products are stored according to type, size, or frequency of use.
  • Labeling and Tagging: Label items with relevant information such as product name, SKU, expiration dates and batch numbers for easy identification.
  • Space Management: Ensure efficient use of space, organizing goods in a manner that maximizes storage capacity while allowing easy access to frequently used items.

3. Inventory Documentation and Record-Keeping

  • Data Entry: Maintain accurate and up-to-date records of all inventory movements, including receipts, dispatches, transfers, and returns.
  • Inventory Reports: Prepare and submit regular reports on inventory status, stock levels, discrepancies, and any other relevant metrics to the management team.
  • Goods Issue & Receiving Logs: Ensure that the issuance and receipt of goods are properly documented in the store’s records.

4. Order Processing & Distribution

  • Fulfilling Orders: Pick and pack materials or products based on internal orders and ensure timely delivery or dispatch.
  • Shipping Coordination: Work with transport or logistics teams to arrange for the shipment of products to clients, departments, or other locations.
  • Stock Issuance: Issue materials or goods to authorized personnel or departments as per requested orders, ensuring accuracy in quantity and product type.

5. Safety & Maintenance

  • Safety Compliance: Ensure adherence to safety standards and protocols for handling goods, especially hazardous materials. Properly store dangerous or perishable items according to safety guidelines.
  • Cleaning & Maintenance: Maintain a clean and organized storage area, ensuring that the warehouse or store is safe, clean, and free from hazards.
  • Equipment Maintenance: Check and maintain storage equipment like shelving, forklifts, trolleys, and pallets in good working condition.

6. Quality Control

  • Inspection of Goods: Inspect goods for damage or defects upon receipt, and ensure that any damaged or defective products are reported and processed accordingly.
  • Quality Assurance: Ensure that products meet quality standards and specifications before they are issued or shipped out.
  • Return Management: Manage the returns of defective or unsatisfactory goods, ensuring proper documentation and coordination with suppliers.

7. Collaboration and Communication

  • Team Coordination: Work closely with other departments, such as purchasing, sales, or production, to ensure that inventory needs are met and processes run smoothly.
  • Reporting to Management: Report on inventory status, issues with stock levels, and any incidents of product loss, damage, or discrepancies.
  • Vendor Communication: Coordinate with suppliers and vendors regarding orders, delivery schedules, and product availability.

8. Preventing Losses and Theft

  • Security Measures: Monitor and control access to the store or warehouse, ensuring that only authorized personnel are allowed to handle goods or materials.
  • Inventory Reconciliation: Investigate discrepancies between physical counts and system records, and report any issues of theft, mismanagement, or damage.
  • Loss Prevention: Implement measures to reduce the risk of stock damage, theft, or spoilage, including proper handling, storage, and tracking procedures.

9. Customer Service

  • Respond to Inquiries: Address any questions or concerns from internal teams or customers regarding stock availability or product specifications.
  • Product Delivery: Ensure timely and accurate delivery of goods to internal teams or customers based on the delivery schedule.

10. Technology & System Use

  • Inventory Management Software: Proficiency with inventory management systems or Enterprise Resource Planning (ERP) software to track inventory, log movements, and generate reports.

11. Handling Special Materials

  • Perishable Goods: If handling perishable goods, ensure proper rotation of stock to prevent spoilage or expiration, and maintain appropriate temperature storage conditions.

REQUIREMENT:

  • At least a high school diploma or equivalent. Additional certifications in logistics, inventory management, or warehousing may be advantageous.
  • Degree: Bachelor's degree in Logistics, Supply Chain Management, or Business Administration.
