Payroll and HR Operations Executive

We are seeking a dedicated and detail-oriented Payroll and HR Operations Executive with 2-4 years of experience to join our team. This role will focus on managing end-to-end payroll processing, ensuring compliance with statutory requirements, maintaining employee records, and supporting HR operations. The successful candidate will work closely with internal stakeholders and an outsourced payroll vendor to ensure accuracy and timeliness while contributing to a positive work environment and streamlining HR processes.
Key Responsibilities:
End-to-End Payroll Management:
Manage the payroll processing for Malaysia and other countries (assigned from time to time) through an outsourced payroll vendor, ensuring 100% accuracy and timely payments.
Oversee the submission of statutory reports, claims, and related payroll tasks in compliance with applicable laws and regulations.
Vendor Relationship Management:
Maintain positive and productive relationships with the outsourced payroll vendor to ensure smooth payroll processing and issue resolution.
Employee Inquiries:
Act as the point of contact for employees' payroll-related inquiries, providing timely and accurate responses.
Employee Lifecycle Management:
Administer and update employee records in the HRIS, including onboarding of new employees, contract management, employee movements, remuneration changes, offboarding, and other related processes.
Employee Relations & Conflict Resolution:
Proactively manage employee relations, promoting a positive work environment.
Address any employee conflicts or concerns in a timely and effective manner.
Process Improvement & Streamlining:
Identify opportunities for process improvements and collaborate with local and regional stakeholders to streamline HR operations and enhance efficiency.
HR Projects & Initiatives:
Contribute to the implementation of HR projects such as HR policy documentation, process automation, and roll-out of new HR systems or initiatives.
Ad-Hoc Tasks:
Perform other duties and tasks as assigned to support HR and payroll operations.
Qualifications:
Bachelor’s degree in Human Resources, Business Administration, Accounting, or related field.
2-4 years of experience in payroll processing and HR operations.
Strong knowledge of payroll and statutory regulations in Malaysia (experience with other countries is a plus).
Proficient in HRIS systems and payroll software.
Excellent communication and interpersonal skills.
Strong attention to detail with the ability to manage multiple tasks simultaneously.
Ability to maintain confidentiality and handle sensitive information.
Proactive problem-solving skills with a focus on continuous improvement.
