Job Summary:

The HR Assistant (Documentation & Administration) is responsible for managing HR documentation, records, and administrative tasks to ensure compliance with company policies and labor regulations. This role supports HR operations by maintaining accurate employee records, preparing reports, and assisting with HR-related paperwork.

Key Responsibilities:1. HR Documentation & Records Management

  • Maintain and update employee records, including personal files, contracts, and leave records.
  • Ensure proper filing of HR documents, both digital and physical, for easy retrieval.
  • Assist in preparing HR reports and data analysis as needed.

2. HR Policy & Compliance Support

  • Ensure HR policies and procedures are properly documented and communicated.
  • Assist in compliance with labor laws by maintaining necessary documentation.
  • Support internal and external HR audits by preparing required documents.

3. Recruitment & Onboarding Administration

  • Prepare and organize offer letters, contracts, and onboarding documents.
  • Maintain a record of job applications and interview schedules.
  • Assist in conducting background checks and document verifications.

4. Payroll & Benefits Documentation

  • Maintain attendance, leave, and payroll records for processing.
  • Assist in handling employee claims, insurance documents, and statutory contributions (e.g., EPF, SOCSO, EIS).

5. Employee Records & Exit Documentation

  • Ensure resignation, termination, and exit interview documents are properly recorded.
  • Maintain clearance checklists and final payroll documentation.

Job Requirements:

  • Diploma or Degree in Human Resources, Business Administration, or related field.
  • 1-3 years of experience in HR or administrative roles (Fresh graduates with strong documentation skills are encouraged to apply).
  • Strong organizational and administrative skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and HR software.
  • Ability to maintain confidentiality and accuracy in handling HR records.
  • Basic understanding of labor laws and HR compliance.

Preferred Skills:

  • Experience in HR documentation and database management.
  • Familiarity with HRIS (Human Resource Information System).
  • Strong attention to detail and time management skills.

Job Type: Permanent

Pay: RM1,700.00 - RM2,100.00 per month
