Key Responsibilities:
1. Administrative Support
- Perform a variety of administrative tasks to support the IT team, including the creation and maintenance of essential documentation such as Management Approval Papers (MANAP) and Board Papers.
- Provide comprehensive support for various administrative functions within the IT departments, ensuring efficient operations.
2. Monthly Presentations
- Develop and deliver comprehensive monthly presentations for IT Operations and Delivery that align with organizational goals.
- Collaborate with team members to gather relevant data and insights for inclusion in presentations.
3. Record Keeping
- Serve as the primary record keeper for the IT department, maintaining and organizing critical documents, including contracts related to IT assets and other important records.
- Ensure that all documentation is up-to-date, accessible, and compliant with organizational policies.
4. Meeting Minutes (MOM)
- Actively participate in IT operations meetings, accurately recording minutes of the meeting (MOM) and distributing them promptly to all relevant stakeholders.
- Follow up on action items discussed during meetings to ensure accountability and progress.
5. Project Support
- Assist in the planning, execution, and monitoring of IT projects by providing necessary administrative support.
- Schedule meetings, track project milestones, and maintain project documentation to facilitate effective project management.
6. Data Analysis
- Analyze operational data to identify trends and provide actionable insights that support informed decision-making within the IT department.
- Create reports that summarize findings and recommendations for management review.
7. Document Management Improvement
- Support the development and implementation of document management systems aimed at enhancing efficiency in record-keeping practices.
- Identify opportunities for process improvements related to document management and propose solutions.
8. Collaboration with IT Management
- Collaborate closely with IT management to create monthly presentation slides for Operating Companies (Opcos) within the TGM Group, emphasizing key aspects of IT Operations and Delivery.
- Foster strong working relationships with team members across departments to ensure alignment on objectives and deliverables.
Qualifications
- Bachelor’s degree in Business Administration, Information Technology, or a related field preferred.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with data analysis tools.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong written and verbal communication skills.
