Job Summary:

The Front Desk Representative is the first point of contact for students, parents, staff, and visitors at the school. They are responsible for managing front desk operations, handling inquiries, providing administrative support, and ensuring smooth communication within the school.

Key Responsibilities:1. Reception & Customer Service:

  • Greet and assist students, parents, staff, and visitors in a professional and friendly manner.
  • Answer phone calls, emails, and messages, and direct inquiries to the appropriate department.
  • Provide general information about the school, admission procedures, and school policies.
  • Maintain visitor logs and issue visitor passes for security purposes.

2. Administrative Support:

  • Manage and update student attendance records and inform parents of absences if required.
  • Assist in scheduling appointments, parent-teacher meetings, and school events.
  • Handle mail, deliveries, and correspondence efficiently.
  • Maintain and update student and staff directories.

3. Communication & Coordination:

  • Coordinate with school departments to relay messages and assist with administrative tasks.
  • Support teachers and staff with document preparation, printing, and other clerical duties.
  • Ensure smooth communication between parents, students, and school authorities.

4. Office & Facility Management:

  • Maintain the reception area, ensuring it is clean, organized, and welcoming.
  • Monitor office supplies and coordinate procurement when necessary.
  • Assist in handling emergency situations by following school protocols.

5. Other Duties:

  • Support school events, open days, and special programs as needed.
  • Perform other duties assigned by the School Principal or Administration Manager.

Requirements:Qualifications & Experience:

  • Minimum of a high school diploma; a diploma or degree in administration or a related field is an advantage.
  • Prior experience in a front desk, receptionist, or administrative role, preferably in an educational setting.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment.

  • Strong organizational and multitasking abilities.
  • Attention to detail and ability to handle confidential information.
  • Ability to work in a fast-paced environment and manage stress effectively.
