Administrative Support

  • Assist the Company Secretary in scheduling meetings, organizing calendars, and managing correspondence.
  • Prepare, format, and distribute meeting agendas, board papers, and other governance documents.
  • Maintain organized filing systems for corporate and statutory records, ensuring confidentiality and easy access.

    Statutory Records Management

    • Update and maintain statutory registers, including registers of members, directors, and secretaries.
    • Safeguard important documents such as share certificates, resolutions, and governance policies.
    • Ensure proper filing of legal and regulatory documents in compliance with the Companies Act 2016.

      Regulatory Compliance Assistance

      • Assist in preparing and submitting statutory filings, including annual returns and financial statements, to Suruhanjaya Syarikat Malaysia (SSM).
      • Assist in drafting resolutions and follow-up action items.
      • Monitor regulatory deadlines and notify the team of upcoming compliance requirements.
      • Support the implementation of corporate governance frameworks and compliance initiatives.

        Liaison and Communication

        • Act as a liaison between the company secretarial team and other internal departments or external parties.
        • Coordinate with auditors, lawyers, bankers and consultants for compliance and governance-related matters.
        • Handle routine correspondence with regulatory authorities such as SSM.

          General Administrative Duties

          • Maintain up-to-date records of the corporate calendar, tracking compliance deadlines and key events.
          • Assist in the preparation of reports, presentations, and other documentation as required by the Company Secretary.
          • Support the secretarial team in daily operations and ad-hoc administrative tasks.

Educational Background:

  • Diploma or certificate in Business Administration, Office Management, or a related field.
  • Familiarity with corporate governance or secretarial practices is an added advantage.

    Experience:

    • At least 1–2 years of administrative experience, preferably in a corporate or legal environment.
    • Knowledge of Malaysian corporate laws and regulations (e.g., Companies Act 2016) is an advantage.

      Skills:

      • Strong organizational and time-management skills.
      • Excellent written and verbal communication skills in English and Malay.
      • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
      • Familiarity with corporate secretarial software (e.g., MYCOID, MBRS) is a plus.
      • High attention to detail and accuracy in record-keeping.
