We are looking to appoint an enthusiastic and highly organized individual in a supporting role to the HR Manager. This is an admin heavy and 'people' heavy role and will involve having an 'open door' HR policy, and undertaking day to day HR admin as well supporting on various exciting new HR projects (including note taking on any ER cases, helping to coordinate an annual appraisal process, extracting HR data and working on ideas to improve the general HR function.

To be successful in this role, you must be able to work as part of a small team, whilst independently and proactively completing tasks. Excellent organisation, communication and IT skills, accuracy, and attention to detail are essential requirements. The nature of this role requires a tactful and confidential approach.

Other Duties Include (but Not Limited To)

  • HR administrative support for all offices in Penang/Northern when required
  • Responding to internal and external HR related inquiries or requests and providing assistance and/or escalation to HRM.
  • Support in maintaining records of personnel-related data (payroll, personal information, leavers, turnover rates etc.) in both paper and the database and ensure all employment requirements are met.
  • Working with the teams in Penang in order to manage employee reporting data.
  • – Coordinating compulsory training and ensuring all internal processes are followed.
  • – Administering the online recruitment platform, including posting vacancies, writing job adverts and monitoring reception of CV’s.
  • Supporting the HRM with day-to-day tasks, administration activities and/or projects.

Requirements

  • The successful candidate will have the following:
  • Personality is key !
  • Candidates must be approachable, have empathy and have patience
  • Proven experience as a HR Assistant/ Administrator position (minimum 1 year)
  • Fresh graduate are also welcome to apply
  • Fluent English and Strong ability to use MS Office (Microsoft Word, Excel)
  • Outstanding communication and interpersonal skills, both written and verbal
  • Ability to work in a fast pace and high-volume environment
  • Ability to handle data with confidentiality
  • Good organizational, time management skills and ability to work under pressure
