- Assist the HR & Admin Manager in supervising administrative functions and ensuring compliance with company policies, regulations, and statutory requirements.
- Maintain and update documentation to ensure compliance with the Integrated Management System (ISO 9001:2015, ISO 14001:2015, ISO 45001:2018).
- Coordinate and monitor internal IMS audits to uphold standards.
- Handle staff insurance claims (Personal Accident, Hospitalization, Travel, and SOCSO) and liaise with relevant agencies or government bodies for claims processing.
- Oversee training-related matters, including:
- Liaising with training providers and the Human Resource Development Fund (HRDF) for grant applications and claims.
- Maintaining accurate training records, evaluations, and certifications.
- Updating training hours in the system.
- Hostel Management: Coordinate with property owners, agents, vendors, and staff for maintenance, inspections, renewals, and terminations.
- Access Control: Manage E-Win System for door access and liaise with vendors for hardware/software issues.
- Contract & Agreement Monitoring: Track contract expiry dates (security, cleaning, landscaping, water dispensers, telecommunication, etc.) and negotiate renewals or service improvements.
- Vendor Quality Assurance: Ensure external service providers (cleaning, security, waste collection, landscaping) comply with SOPs and company standards. Provide training where necessary.
- Company Vehicle Management: Monitor service schedules and coordinate maintenance with workshops.
- Monitor and verify company phone line usage (office and individual accounts).
- Manage company property, including asset tracking, condition verification, and handovers.
- Maintain and control inventory for office supplies, refreshments, and cleaning materials.
- Handle incoming mail, documents, and parcel distribution.
- Assist in organizing company events and activities.
- Coordinate office maintenance issues with the maintenance department.
- Oversee business license renewals.
- Arrange visa applications, transport, flight bookings, and hotel accommodations for staff and visitors.
- Perform other ad-hoc administrative duties as assigned.
Requirement:
- Diploma, Bachelor's Degree, Post Graduate Diploma, or Professional Degree in Business Studies, Administration, or Management.
- Knowledge of ISO systems, including ISO 9001, ISO 14001, and ISO 45001.
- Proficiency in Microsoft Office (MS Word, Excel, PowerPoint, Outlook, etc.).
- Strong communication skills in Mandarin, English, and Bahasa Malaysia (preferred).
