Job Title: Payroll Senior Executive Employment Type: Full-time Department: Human Resources Job Summary: The Payroll Senior Executive is responsible for overseeing the entire payroll process within the organization, ensuring timely and accurate payment of salaries, and compliance with all relevant laws and regulations. This role also involves managing employee data related to payroll, benefits, deductions, and tax reporting. The Payroll Senior Executive plays a crucial role in ensuring compliance with labor laws in Malaysia, as well as providing relevant analysis and reports to management. Key Responsibilities: Payroll Processing Management: Prepare, manage, and ensure payroll is processed accurately and on time for all employees. Coordinate all payroll-related processes, including salary payments, benefits, deductions, and tax calculations. Update employee information in the payroll system and ensure data accuracy. Handle employee inquiries related to payroll and resolve any issues that arise. Deductions and Benefits Management: Manage all deductions related to payroll, including EPF (Employees Provident Fund), SOCSO (Social Security Organization), PCB (Monthly Tax Deduction), and other statutory deductions. Ensure employee benefits such as insurance, annual leave, and bonuses are processed in accordance with company policies. Compliance with Laws and Regulations: Ensure the company complies with all labor laws and tax regulations in Malaysia. Develop and update payroll procedures in accordance with changes in legislation or policies. Prepare documentation and reports for auditing purposes and ensure adherence to regulatory requirements. Reporting and Analysis: Prepare monthly, quarterly, and annual payroll reports, including cost analysis reports for management. Assist in the preparation of annual tax reports and filing of forms related to payroll, such as EA forms and other required documents for the Inland Revenue Board of Malaysia (LHDN). Generate financial reports related to payroll, benefits, and deductions as requested by senior management. Tax Filing and Compliance: Ensure the timely and accurate filing of taxes, including EPF, SOCSO, and PCB contributions. Collaborate with external auditors or tax consultants to ensure tax compliance. Employee Data Management: Maintain accurate records of employee salary, benefits, leave balances, and other payroll-related data. Manage employee queries on payroll matters, including discrepancies or corrections to payroll records. Process Improvement: Continuously improve payroll processes and systems to increase efficiency and accuracy. Stay updated with changes in payroll systems, tax regulations, and industry best practices. Confidentiality and Data Protection: Ensure the confidentiality and security of employee payroll data. Handle sensitive information with the highest level of discretion and adhere to data protection regulations. Skills and Qualifications: Technical Skills: In-depth knowledge of payroll systems and processes. Strong understanding of Malaysian labor laws, tax regulations (LHDN), and EPF, SOCSO requirements. Experience with payroll software and HRIS systems. Proficient in Microsoft Excel and other data management tools. Soft Skills: Strong attention to detail and accuracy. Excellent communication skills, with the ability to interact effectively with employees and management. Good problem-solving and analytical abilities. Ability to maintain confidentiality and handle sensitive information. Strong organizational and time-management skills. Qualifications: Degree in Human Resources, Accounting, Finance, or a related field. At least 3–5 years of experience in payroll management, preferably in an IT company or a similar industry. Knowledge of Malaysian labor laws, tax filing procedures, and statutory requirements. Additional Qualifications: Certification in payroll management or related fields would be an advantage.
