Job Summary

The Operation Manager/Supervisor plays a critical role in ensuring seamless support across various operational areas. This position is responsible for coordinating with internal and external partners, including liaising with Watson, managing 3PL fulfillment, and overseeing warehouse & logistics functions. Additionally, the role involves assisting with procurement, maintaining effective communication with both local and China-based suppliers, and managing inventory levels to ensure adequate stock availability—triggering reorders when necessary. This role is integral to supporting Hygr’s mission of empowering over 50,000 individuals every month.

Key Responsibilities:-

  • Lead and manage the Operations and Customer Service teams to achieve operational excellence.
  • Establish and monitor key performance indicators (KPIs) for both departments.
  • Manage budgets, control costs, and optimize resource use across operations.
  • Promote continuous improvement by implementing best practices and process enhancements.
  • Ensure adherence to company policies, safety regulations, and industry standards.
  • Collaborate with procurement, sales, and customer service teams to align operations with business goals.
  • Prepare and deliver regular performance reports, including gross profit margins, service plan progress, and team development update

Warehouse & Logistics Coordination:

Oversee communications and administrative processes related to warehouse operations.

Support logistics operations by ensuring that information flows effectively between the warehouse team and external logistics partners.

Oversee warehouse management, including inventory accuracy, stock control, and logistics.

Maintain an inventory accuracy rate of 99.8%. Enforce a policy where team members are financially accountable for stock losses, with costs split among the team based on the total value of discrepancies.

Conduct weekly operations meetings to review inventory, logistics, and team performance.

Manage inventory value and quantity with real-time updates to minimize discrepancies.

Coordinate with procurement and sales to forecast stock needs and ensure availability.

Provide logistics support for roadshows, managing stock, setups, and transfers efficiently.

Work with branch managers to streamline warehouse workflows and enhance efficiency.

  • Implement risk management and safety measures to reduce operational risks.
  • Oversee roadshow event operations, including stock management, setup, inventory tracking, stock transfers, rack/display setup, and cost control.
  • Supervise the Operation Customer Service Team Lead to ensure daily tasks are completed, workforce is allocated effectively, and the workspace remains organized and clean.
  • Manage inbound operations, including EAN code updates, stock checks, goods receipt notes (GRN) for HQ and outskirt locations, stock slotting, and warehouse tidiness.
  • Oversee outbound operations, ensuring timely stock requisitions (SQ), accurate stock transfers (ST), weekly outstation requisition fulfillment, and warehouse cleanliness.
  • Ensure outbound packing processes are followed: photograph packed items, upload to ClickUp, process online orders within 24 hours, and complete Gdex packing on the same day for orders received before 1 PM.

Procurement Support:

Assist in procurement activities, including order placement, vendor communications, and tracking of supplies.

Help manage procurement documentation and support cost analysis where needed.

Supplier Liaison:

Maintain and build strong relationships with existing local suppliers.

Liaise with suppliers from China to coordinate orders, ensure compliance with quality standards, and manage delivery schedules.

Inventory Management:

Monitor stock levels and conduct regular reviews to ensure sufficient inventory is available.

Track inventory usage and coordinate with the warehouse team to reorder supplies as needed, ensuring the right amount of stock is maintained to meet operational demands.

Work closely with procurement and logistics teams to update inventory records and prevent shortages.

Administrative Support:

Provide comprehensive administrative support to the broader team, including scheduling meetings, preparing reports, and managing documentation.

Handle ad-hoc administrative tasks as required by management.

Partner Liaison:

Act as the primary point of contact for Watson and facilitate smooth collaboration on projects and operational tasks.

Coordinate with 3PL fulfillment teams to ensure timely and accurate order processing and dispatch.

Skills & Qualifications

Experience:

Proven experience in an administrative or operational support role, preferably within logistics, warehouse management, procurement, or inventory control.

Communication:

Excellent written and verbal communication skills to effectively liaise with internal teams and external partners.

Organizational Skills:

Strong organizational abilities, capable of managing multiple priorities and tasks efficiently.

Technical Proficiency:

Proficient in standard office software (e.g., MS Office Suite, email, scheduling tools) and familiar with inventory management tools.

Interpersonal Skills:

Ability to work collaboratively with diverse teams and maintain positive relationships with suppliers.

Attention to Detail:

Meticulous attention to detail to ensure accuracy in administrative processes, documentation, and inventory tracking.

Adaptability:

Flexible and adaptable, able to support various administrative functions and quickly respond to changing priorities.

Additional Information

Working Hours: Mon-Friday 8-5pm
