Position Overview:

PA to GM Marketing cum Marketing Coordinator must be proactive, quick-thinking, and able to handle multiple tasks with speed and precision. You will be responsible for assisting the General Manager of Marketing (GM Marketing) with day-to-day administrative tasks, preparing reports, quotations, and presentations, managing costing sheets and documentation, and supporting the marketing team with events and activities. The ability to work efficiently under pressure, adapt quickly, and meet deadlines is key to this role.

Key Responsibilities:

  • Administrative Support to GM Marketing:
  • Provide quick and efficient administrative support to the GM Marketing, managing schedules, handling calls, and preparing various documents with speed and accuracy.
  • Prepare quotations for marketing materials and events promptly, ensuring that all details are correct and up to date.
  • Efficiently manage P&C documentation inter-company and all related paperwork, ensuring quick access when required.
  • Presentation & Reporting:
  • Quickly prepare high-quality presentations for internal meetings, client meetings, and events.
  • Assist in generating reports, data analysis, and costing sheets, ensuring that all information is readily available and presented clearly.
  • Ensure that all presentations and reports are delivered on time and without error.
  • Prepare minutes of meeting.
  • Event Coordination & Support:
  • Coordinate and efficiently manage marketing events, activities, and live shows, ensuring smooth execution and timely delivery.
  • Ensure all event materials, documentation, and resources are organized well in advance for a quick turnaround on event day.
  • Provide rapid support for event logistics, handling any last-minute changes with speed and precision.
  • Sales Proposals & Order Management:
  • Assist in preparing corporate and sales proposals swiftly, ensuring they are tailored to client specifications and aligned with company standards.
  • Manage order processing, ensuring orders are submitted accurately and on time, without delays (when needed).
  • Costing & Documentation Management:
  • Keep costing sheets up to date, ensuring that all calculations and documents are accurate and promptly available for review.
  • Manage and organize marketing documentation, ensuring that all records are easily accessible for quick reference.
  • Communication & Coordination:
  • Serve as a quick-response liaison between the GM Marketing, marketing team, and other departments to ensure clear communication and efficient project execution.
  • Support the marketing team in preparing materials for internal and external presentations, client meetings, and sales proposals, making sure everything is delivered without delay.

Requirements:

  • Education:
  • Diploma or Degree in Business Administration, Marketing, Communications, or a related field.
  • Experience:
  • Minimum 3 years of experience in an administrative or marketing coordination role, ideally supporting a senior executive or a marketing team.
  • Skills:
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Word) and experience with presentation software.
  • Fast and efficient at handling multiple tasks with tight deadlines.
  • Excellent organizational skills and attention to detail, ensuring tasks are completed quickly and accurately.
  • Knowledge of marketing principles, costing sheets, quotations, and report generation.
  • Ability to manage documentation and paperwork quickly and with high attention to detail.

  • Highly self-disciplined and able to work independently to deliver quality results in a fast-paced environment.
  • Ability to act quickly, adapt to changing priorities, and meet deadlines under pressure.
  • Strong communication skills with the ability to respond promptly and professionally.

Job Type: Full-time

Pay: RM1,872.31 - RM4,500.00 per month
