  • Administrative Duties:
  • Assisting superior to prepare and monitor annual budgets.
  • To prepare notices, letter and compile circular to owners / residents.
  • Coordinating and scheduling meetings with tenants/vendors (if required).
  • Co-ordinate and maintain a list of emergency call-out telephone numbers of contractors and services.
  • Liaise with vendor and maintenance team for any internal problem and office equipment.
  • Respond to tenant’s phone calls, emails and direct contact reporting maintenance/ repair issues.
  • Any ad hoc assignments and tasks as and when required by superior.
  • Property Management Duties :
  • Scheduling regular property preventive maintenance services.
  • Oversee the maintenance and frequently inspect the property for signs of damage/ wear and tear
  • Ensure compliance with contractual obligations and address any issues that may arise
  • Resolve all complaints, problems and requests from building tenants.
  • Ensure the tenants are satisfied with the level of management.
  • Review, negotiate, and manage leases and contracts for company properties.
  • Sourcing professional contractors for repairs as needed.
  • Hiring contractors to maintain, repair and / or improve the property.
  • Assist superiors preparing monthly operational reports.
  • Monitor applicable tenant and contractor insurance policies.
  • Managing leases and contracts related to properties
  • Maintain a complete set of duplicate keys for all properties and provide these for tenants at the request.
  • Asset Management Duties:
  • Tracking, monitoring and managing company assets.
  • Control company car movement, handle car maintenance, monitoring of road tax and insurance renewal, liaise with the insurance agent and keep update all documents related to company car.
  • Coordinate with PIC and arrange PUSPAKOM test (if required).
  • Maintain an accurate inventory of company assets including hardware, software, and equipment.
  • Collaborate with different departments to allocate assets based on organizational needs.
  • Monitor and coordinate asset management processes, e.g. asset requisition, asset tagging, asset transfer and asset disposal.
  • Coordinate the recycling, relocation, and scrapping of fittings and furniture.
  • Control movement for office equipment.
  • Conducting regular audits of assets.
  • Degree/Diploma in Real Estate Management or Building Surveying.
  • Have skills in Mechanical/Electrical/Civil (additional advantage).
  • Minimum 2 years or more of working experience in the related field.
  • Knowledge in experience in Quantity Surveying skills.
  • Knowledge in National Land Code (NLC), Strata Act and other relevant Acts is added advantage.
  • Can do maintenance reports, preventative reports, inspection reports and other related in maintenance work.
  • Mature, initiative, innovative, self-motivated, multi-tasking, and able to work independently.
  • Strong leadership skills with critical thinking and results oriented behavior.
  • Good interpersonal skill and customer service experience.
  • Computer literate with strong written and oral communication skills.
  • Good command & written in English and Bahasa Malaysia.
  • Possess multitasking and good problem-solving skills.
  • Proficient in Microsoft Office, AutoCAD and any related system.
