Role Overview:

As an Admin cum Despatch Assistant (Contract Department), you will be responsible for assisting with project and tender-related documentation, ensuring accuracy and compliance with government requirements. You will also perform despatch duties when required, such as submitting documents to government agencies, consultants, or clients.

Responsibilities :

Contract Documentation Support:

  • Assist in the preparation, printing, binding, and submission of tender documents.
  • Handle proper filing and tracking of project documents (LOA, contracts, drawings, etc.).
  • Organize and maintain physical and digital files in accordance with project timelines and requirements.
  • Assist with data entry related to tender submission, pricing summaries, and correspondence.
  • Ensure confidentiality and accuracy of sensitive documents.

Despatch & Submission Duties:

  • Submit tender documents to government bodies or clients according to schedule.
  • Collect or deliver project-related documents, payments, cheques, or approvals.
  • Handle errands involving CIDB, KKM, JKR, local councils, and other related bodies.
  • Keep proper records of all submissions and deliveries.

Coordination & Admin Tasks:

  • Work closely with the Contract Department and Project Admin team.
  • Assist in monitoring deadlines for submissions and documentation.
  • Support other general admin duties as required.

Qualifications:

  • Minimum SPM or Diploma in Business Admin, Project Management, or related field.
  • Basic proficiency in Microsoft Word, Excel & email.
  • Prior experience in admin support or working with tender/government documents is a strong advantage.
  • Able to handle confidential documents responsibly.
  • Must have own transport (motorcycle or car) with a valid driving license.
  • Punctual, organized, and proactive.
  • Proper and good handwriting (will be tested).
