Job Overview: We are looking for a proactive and detail-oriented HR Assistant to support our Human Resources team. This role will focus on recruitment, staff disciplinary matters, HR analytics, and general HR operations. Recruitment & Talent Acquisition - Assist in the end-to-end recruitment process, from job postings and resume screening to interview coordination and onboarding. - Maintain candidate databases and liaise with job portals or recruitment agencies. - Support employer branding initiatives to attract top talent. 2. **Staff Disciplinary Matters - Assist in handling employee disciplinary cases, including documentation and coordination of investigations. - Maintain accurate records of disciplinary actions and ensure compliance with HR policies. - Provide administrative support in grievance handling and staff counselling sessions. 3. **HR Analytics & Reporting - Collect and analyze HR data to track key metrics such as recruitment efficiency, employee turnover, and disciplinary trends. - Generate reports and insights to support HR decision-making and process improvements. - Maintain and update HR databases, ensuring data accuracy. 4. **Employee Onboarding & Offboarding - Facilitate smooth onboarding processes, including document collection and orientation coordination. - Ensure proper documentation and exit procedures for resignations, retirements, and terminations. - Conduct exit interviews and provide insights for employee retention strategies. 5. **HR Compliance & Policy Implementation - Assist in ensuring compliance with labour laws and company policies. - Help update and communicate HR policies and procedures. - Support audits and documentation for statutory compliance (e.g., EPF, SOCSO, EIS). 6. **Employee Engagement & Welfare - Organize company events, well-being programs, and employee recognition initiatives. - Handle employee grievances and support a positive workplace culture. - Assist in employee satisfaction surveys and feedback analysis. 7. **HR Administration & Document Management - Maintain and update employee records, contracts, and performance appraisals. - Manage leave applications, attendance tracking, and HR-related documentation. - Support payroll processing by ensuring accurate employee data is recorded. 8. **Training & Development Support - Assist in identifying training needs and organizing learning programs. - Coordinate with trainers and maintain training records. - Track employee training participation and effectiveness. 9. **HR System & Database Management - Maintain HR Information Systems (HRIS) and ensure accurate employee records. - Generate HR reports related to workforce planning, recruitment, and disciplinary cases. - Support automation and digitization of HR processes. Requirements: - Diploma/Degree in Human Resources, Business Administration, or a related field. - 1-2 years of HR experience, preferably in recruitment or employee relations. - Strong analytical skills and proficiency in MS Excel / HRIS systems. - Excellent communication and interpersonal skills. - Ability to handle confidential matters with professionalism and integrity.
