Job Title: Administrative Officer (Automotive)
Department: Administration / Operations
Location: DMMS Pasir Mas
Reports to: Branch Manager

Job Purpose:

To provide administrative support to ensure efficient operation of the automotive service and sales office. The Administrative Officer will support managers and employees through a variety of tasks related to organization, communication, and documentation. This role is essential in maintaining smooth branch operations, particularly in areas involving customer service, documentation, and coordination between departments.

Key Responsibilities:

  • Perform general administrative duties including data entry, filing, and handling correspondence.
  • Manage documentation related to vehicle registration, insurance, warranty, and customer records.
  • Coordinate appointments, schedules, and internal communications within the branch.
  • Monitor inventory of office supplies and coordinate procurement as needed.
  • Assist in preparing reports, memos, invoices, and other documents for management review.
  • Liaise with customers, suppliers, and other stakeholders professionally and efficiently.
  • Support the sales and service teams in processing documentation related to vehicle sales and after-sales service.
  • Ensure compliance with company policies, procedures, and relevant automotive regulations.
  • Maintain accurate and up-to-date records in the company’s administrative systems.
  • Handle any other administrative tasks as assigned by management.

Requirements:

  • Diploma or Degree in Business Administration, Office Management, or related field.
  • At least 2 years of experience in an administrative role, preferably within the automotive industry.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and office management systems.
  • Good communication skills in both English and Bahasa Malaysia.
  • High level of organization, attention to detail, and ability to multitask.
  • Strong interpersonal skills and a customer-focused attitude.
  • Ability to work independently with minimal supervision.

Job Types: Permanent, Fresh graduate

Pay: RM2,000.19 - RM3,000.60 per month
