  • To work closely with the client to achieve the objective of enhancing and/or sustaining the building’s image and brand as a prestigious high end building;
  • To plan, coordinate, implement and complete all activities involved in the management and maintenance of the common property in the project on schedule and within the prescribed budget;
  • To prepare, execute and complete planned preventive maintenance programmes for all mechanical, electrical and plumbing (MEP) services in the project;
  • To manage and supervise the day to day operations on the management and maintenance of the common property in the project including security services, cleaning services, landscaping, refuse disposal, pest control, defects complaints, maintenance works, procurement, billings and collections, facilities and tenancy management, convening meetings, enforcement of house rules, PMO staff administration and others;
  • To be in charged and solely responsible for the entire operation of the administrative and technical systems and the coordination for all service providers and contractors;
  • To carry out the management and administration of all the PMO staff employed in the building, including the guidance, counselling, monitoring and evaluation of the work and performance of the PMO staff;
  • To carry out the management, supervision and evaluation of the works of all the building service providers, contractors and suppliers appointed in the building to ensure that each respective scope of work is executed and completed satisfactorily;
  • To attend to residents’ complaints and grievances and answering all enquiries professionally and tactfully; and also to be in charged to organize events, functions and gathering for the residents to foster better relationship and community living;
  • To manage and coordinate procurement processes for maintenance and management of the common property in the project. This includes preparing work specifications or tender documents; calling for quotations or tenders; managing evaluation and clarification processes; preparing recommendation reports for approval to award; preparing letters of award or contract documents;
  • To administer contracts for awarded packages, including ensuring all contractual terms are met, manage contractual risks, follow-up on awarded works/services, and handle claims as well as payments for the awarded works/services;
  • To assist in all financial and operational related matters;
  • To maintain strict financial control on collections, receipts and procurements at all times in compliance with policies and procedures set out by the Head Office; and also to keep and maintain good financial records;
  • To ensure collections of maintenance charges & sinking fund and other related charges must be banked-in within two (2) working days.
  • To monitor the cash flow of the project including the implementation of appropriate and effective credit control actions;
  • To carry out the management of the stocks, tools, equipment, assets and facilities of the project;
  • To manage the renewals of insurance policies and insurance claims;
  • To comply with the policies, procedures and standing orders issued by the Head Office;
  • Remaining on call and being contactable via the telephone or hand phone throughout each day and responding to all emergency maintenance problems on site as soon as possible;
  • To carry out troubleshooting of all management and MEP maintenance problems in the project;
  • To carry prudent management of the utilities in the project in order to eliminate any wastages;
  • To attend meetings and also to prepare the minutes of meetings within the prescribed timeframe;
