PROCUREMENT EXECUTIVE
Job Overview:
The Procurement Executive is responsible for sourcing, negotiating, and purchasing materials, equipment, and services to support the company’s property, hospitality, and operational needs. The role involves vendor management, cost control, and ensuring timely delivery of goods and services. The successful candidate will be proactive, organized, and capable of maintaining excellent relationships with suppliers, contractors, and internal teams. Proficiency in Mandarin is preferred to communicate effectively with key vendors in the supply chain.
Job Descriptions
- Source, evaluate, and engage suppliers and contractors for construction, renovation, FF&E (furniture, fixtures, and equipment), operational supplies, and services.
- Prepare RFQs, analyze quotations, negotiate pricing and terms to ensure cost-effective procurement.
- Manage purchase orders, delivery schedules, and ensure timely fulfillment of project and operational requirements.
- Collaborate with property development, hotel operations, and maintenance teams to understand procurement needs and timelines.
- Maintain vendor database, supplier agreements, and procurement records for audit and tracking purposes.
- Conduct regular supplier performance reviews focusing on quality, reliability, and service standards.
- Monitor and control inventory levels to avoid shortages or excess, especially for fast-moving operational items.
- Ensure all procurement activities are in compliance with company SOPs and financial policies.
- Stay updated with market trends, pricing, and new products relevant to the property and hospitality industry.
- Support project rollouts, refurbishment works, and fit-out sourcing by coordinating with consultants and contractors.
- Any other duties assigned by immediate superior.
Requirements
- Diploma or Bachelor’s Degree in Business Administration, Supply Chain, Procurement, or a related discipline.
- Minimum 2–3 years of relevant experience in procurement within the property development, hospitality, or operations sectors.
- Familiar with sourcing building materials, hotel supplies, maintenance services, and outsourced contracts.
- Proficient in procurement systems (e.g., SAP, AutoCount, Oracle) and MS Office.
- Strong negotiation and analytical skills with a keen sense of urgency.
- Good communication skills in English and Bahasa Malaysia.
- Mandarin proficiency is preferred to communicate with vendors and suppliers.
- Ability to multitask and work under pressure in a fast-paced environment.

- Ensure goods/services are delivered on or before the required date to avoid project or operational delays.
Purchase Order Cycle Time – 15%
- Minimize the average time taken from purchase request to issuance of purchase order.
Supplier Performance Rating – 15%
- Maintain high supplier performance standards in terms of quality, reliability, and responsiveness.
Procurement Compliance Rate – 10%
- Ensure all procurement activities comply with company policies, procedures, and audit requirements.
Inventory Turnover Efficiency – 10%
- Maintain healthy stock levels with optimal turnover to prevent overstocking or stockouts.
Vendor Base Expansion – 5%
- Continuously develop and expand a reliable vendor database, especially in property and hospitality-related categories.
Job Types: Full-time, Permanent
Pay: RM2,000.00 - RM3,500.00 per month
