Job Description We are seeking a meticulous and reliable Accounting Senior Executive to join our dynamic team in the precious metals trading industry. As a key member of our finance department, you will be responsible for managing various accounting processes and ensuring the company’s financial activities align with statutory requirements. This role offers opportunities for professional growth and development, particularly in an evolving industry like precious metals trading. Key Responsibilities 1. Accounts Payable and Receivables Management: -Completeness of Inbound/Outbound Payments: Ensure the overall transactions (inbound/outbound payments, collection and payables) are captured and recorded accurately, processed in a timely manner, and reconciled with bank statements. This includes ensuring proper authorisation and coding. -Vendors and Customers Preparation: Oversee and review the processing of vendors and customers billing including invoices, compliance with agreed terms and fulfilment. -Customer/Vendor/Platform Data Synchronization: Manage the accounts payables and accounts receivables cycle, ageing reports and including communicating on SOA, monitoring clients accounts for irregularities -Review of Credit Limit : Review the new cilentele Credit Limit approval and and help establish payment terms for existing clients to analyze payment histories to identify potential credit risks, and highlight for further recommendation of credit limits adjustments. 2. Comprehensive Accounting & Reporting Functions: -Day-To-Day Transactions: Ensure Day-To-Day transactions (non-trade and inter-companies) are updated to System on daily basis with accuracy, completeness and on timely basis. -Month-End Closing: Coordinate and complete month-end closing activities, ensuring that journal entries are posted, financial transactions are reconciled, and month-end reports are prepared on time. -Journal Entries: Preparation and posting of non-trade related journal entries such as interests, accruals, prepayments and its related adjustments and reversal entries and ensure all journal entries are accurately recorded in the general ledger, adjusting as needed for any discrepancies or updates. -General Ledger: Posting general ledger journal entries closing for revaluation and gain/loss as prepared by teams and reviewed by Finance Manager. -PPE Register: Preparation of PPE register and its relevant schedules for the review by Finance Manager and including posting to General Ledger for completeness. -Bank Term Loans Schedule, Bank Withdrawal Loan Schedule and Hire Purchase schedule: Posting the Schedules on its payments, Journal entries adjustments and Statement of Accounts's reconciliation for completeness. Schedules will be prepared by Finance Manager. -Accounts Reconciliations: Posting of reconciliations as prepared by Finance Manager and other teams on relation to monthly reconciliations of balance sheet and income statement accounts, including communicating and identifying and resolving discrepancies promptly. -Audit Schedules: Preparation of Audit Schedules and its Supporting Documentation on monthly basis. -SST Filings: Cover the preparation and file accurate SST returns in accordance with Malaysian tax regulations, ensuring timely and compliant submissions. -E-invoicing Filings: Cover the preparation and file accurate e-invoicing returns in accordance with Malaysian tax regulations, ensuring timely and compliant submissions. -Front Office Financial Operations: Oversee, coordinate and manage day-to-day financial operations, ensuring all transactions are recorded and processed accurately, and assist in streamlining operational workflows to improve efficiency on collection and fulfilment. -Middle Office Support: Assist in managing middle office tasks, including transaction verification, liquidity management, and monitoring risk exposure, ensuring all operations are in line with company policy and industry standards. -Administrative Support: Provide general administrative assistance to the finance team, including maintaining files, preparing reports, and liaising with other departments on finance-related matters. -Daily and Month-End Closing: Coordinate and complete reports for Daily and monthly for month-end closing activities and reconciliations Vendors and Customers on timely basis. -Stock-Take and Inventory Management: Assist in conducting physical stock takes, ensuring inventory is accurately recorded, and work with the relevant departments to resolve discrepancies. -Financial Statements: Assist Finance Manager in preparation of monthly financial statement, ensuring accuracy for Finance Manager review and verification. -Financial Reporting and Analysis: Assist Finance manager on collate information pertaining to analytical support, data on comparing actual financial performance against budgets and forecasts. -Group Consolidation Reporting Package: Assist Finance Manager on collate financial data for the reporting purposes. -Notes To Financial Statements: Assist Finance Manager on compilation of documentation for Notes To Financial Statements. 3. Compliance, Regulatories & Financial Control: -Adhere to Accounting Standards: Ensure all accounting practices are compliant with local regulatory standards, ensuring that financial transactions and reports meet required legal and regulatory frameworks. Assist the Finance Manager and Group on implementation of updates of MFRS, Companies Acts and Bursa Lisitng requirements. -Adhere to Related and Relevant Regulatories Compliance: Ensure all transactions, best practices and compliance of regulatories from time to time basis and ensure accuracy, completeness and on timely basis to the required legal and regulatory frameworks. -Internal Control and SOPs: Assist on the implementation and monitoring of itnernal controls and SOPs including complaince requirments and policies that are in line with company policies. -Annual Review: Assist Finance Manager on collate information pertaining to Annual Review (for compliance from Statutories, Bank Negara Manaysia, Shariah Regulation, Legal Banking, ALMA, Credit Annual Review and etc) -Annual Financial Statement Preparation: Assist in the preparation of year-end financial statements and other reports required for audits, working closely with auditors to facilitate the audit process. -Tax Compliance: Support and assist the Finance Manager on collate information for the preparation of corporate tax returns and filings, ensuring full compliance with tax regulations and working with external consultants or tax authorities when necessary. -Tax Compliance: Assist the Finance Manager on collate of information for matters pertaining to Tax CP-204. Preparation and submission of Withholding Tax -Audit Compliance: Support and assist the Finance Manager on the preparation of audit schedules, and assist the Finance Manager pertaining to the annual Company's audit requirements and ensuring full cooperation and compliance with MRFS regulations. 4. Discrepancy Investigation & Issue Resolution: -Identify and Investigate Discrepancies: Proactively identify discrepancies or inconsistencies in financial records and take appropriate action to investigate and resolve issues in a timely manner. -Resolution of Accounting Irregularities: Work closely with other departments to resolve irregularities and discrepancies, ensuring proper documentation and corrective measures are implemented. 5. Ad Hoc Finance Projects & Process Improvement: -Special Projects: Take on additional ad hoc finance-related projects or assignments as requested by management. This may include process improvements, financial analysis, or system upgrades. -Continuous Process Enhancement: Assist in identifying areas for improvement in financial processes and procedures, recommending solutions that promote efficiency, accuracy, and compliance. Qualifications & Skills Education: -A Bachelor’s degree in Accounting, Finance, or a related field. -Professional certification (e.g., ACCA, CPA, or CIMA) is highly desirable. Experience: -Minimum 2-3 years of relevant experience in accounting, preferably in the commodities, trading, or financial services sectors. -Hands-on experience in month-end closing, reconciliation, SST filing, e-invoicing and general ledger management is essential. Fresh Graduates with auditing background are encouraged to apply. Skills: Strong proficiency in accounting software (e.g., QuickBooks, SAP, or similar ERP systems). Advanced knowledge of Microsoft Excel (pivot tables, VLOOKUP, and other financial functions). In-depth understanding of accounting principles, local tax laws, and financial reporting standards. Excellent organizational and multitasking skills, with a keen eye for detail. Ability to work independently and handle multiple tasks under tight deadlines. Effective communication skills with the ability to collaborate across departments and with external parties.
