1. Provide assistance and carry out all the Director’s requests. 2. Manage and arrange Director daily schedules, meetings and appointments. 3. Arrange, coordinate, schedule department meetings and prepare reports (HR EXCO report) in power point. 4. Responsible to calls, emails, correspondence letters, direct inquiries to the appropriate person and take messages. 5. Receive and return documents from departments to obtain the approval of the Director, record all in/out documents and handle confidential documents ensuring they remain secure. 6. Manage general filling system, making photocopies, scanning, filling & safekeeping. 7. Liaise effectively with internal divisions/departments and external organizations on behalf of the Director/Departments. 8. Advise the Director of impending work deadlines for both internal and external commitments, e.g. reports, presentations, documentations. 9. Make travel arrangements for Director (i.e transportation and accommodation) and handling personal matters as requested by Director. 10. To undertake any other duties that may be assigned by the immediate superior’s/team department and prioritize workload to ensure the most effective and efficient way such as; • Updating extension list HQ every 2 months. • Updating IMS SOP files for Director/Training HRA/Administration departments.
