Job Summary:

The Event Logistics Coordinator is responsible for the seamless execution of logistical operations for events, with a focus on accommodation management, crew transportation, and event licensing. This role ensures all logistical elements are efficiently planned, executed, and aligned with event requirements and timelines.

Key Responsibilities: Accommodation & Transportation:

  • Coordinate hotel bookings for crew, talent, and key personnel, ensuring alignment with event schedules.
  • Liaise with hotels to negotiate group rates, room blocks, and check-in/out processes.
  • Arrange transportation logistics including airport transfers, daily shuttles, and on-site mobility for crews.
  • Create detailed transport and accommodation schedules and communicate clearly to all involved.

Event Licensing & Permits:

  • Research and apply for necessary event-related licences and permits in a timely manner (e.g., venue permits, local council approvals and entertainment licences).
  • Liaise with relevant authorities and agencies to track application progress and secure approvals.
  • Ensure compliance with local regulations and event legal requirements.

On-Site & Pre-Event Coordination:

  • Conduct site visits (where necessary) to assess logistical needs.
  • Support event team with documentation, briefing materials, and logistical maps or schedules.
  • Act as a point of contact for crew logistic queries before and during the event.

Post-Event:

  • Coordinate check-outs, return transport, and post-event reporting on logistical effectiveness.
  • Assist with post-event evaluations and suggestions for improvement.

Requirements:

  • Proven experience in event logistics, hospitality coordination, or related fields.
  • Strong organisational and multitasking skills under tight timelines.
  • Excellent communication and negotiation abilities.
  • Proficient in using spreadsheets, schedules, and project tracking tools.
  • Familiar with local licensing procedures and regulatory bodies is a plus.
  • Able to work flexible hours, including weekends or evenings during event periods.

Job Types: Full-time, Contract
