Responsibilities: • Prepare and process tenancy-related documents, including Letters of offer, tenancy agreement, renewals, terminations, reminder letter, amendments and other correspondence. • Work closely with the leasing team, tenants, and solicitors to facilitate the preparation, execution, and administration of tenancy agreements. • Assist in following up with the Leasing team to ensure tasks are completed efficiently while adhering to company policies and objectives. • Address tenancy administration issues and inquiries from Leasing team, and assist in drafting necessary changes in leasing documents to protect the Landlord, facilitate negotiation renewal processes, property maintenance, or tenant disputes. • Carry out administrative duties such as filing, typing, copying, binding and scanning. • Enter information and data into the system, maintain an up-to-date database of tenants’ contact details and tenancy details as well as monitor the status of lease documents. • Track tenant deposits and rental payments to ensure timely collections, initiate follow-up actions for any arrears and assist in contacting tenants with outstanding rental payments, resolving payment issues and forward utilities bills to tenants. • Ensure all tenancy agreements are accurately recorded and monitor key milestones such as lease expirations, renewals, and terminations. • Assist in preparing regular reports related to tenancy status, rental collections, outstanding report and other leasing activities. • Collaborate with internal and external specialist team to resolve tenant’s concerns/issues in renovation, operations, collection and defects management. Requirements • Candidates preferably to have at least 2 years of working experience in mall leasing administration within the retail or property management industry. • Candidate must possess at least a Professional Certificate, Diploma, Advanced/ Higher/ Graduate Diploma, Bachelor Degree, Post Graduate Diploma, and Professional Degree in any discipline or 3 years related experience. • Disciplined, results oriented, professional and with minimum supervision, reporting and updating head-office as pre-determined by leadership. • Computer literate and reasonably well versed in Microsoft Office i.e. Excel & Word. • Good inter-personal skills, meticulous with exceptional organizational and analytical skills. • Proactive and able to work independently as well as collaborate with a diverse spectrum of people, both internally and externally. • Good understanding and command of English, Bahasa Malaysia, and knowledge of legal and professional context will be an added advantage. • Strong time-management and prioritization skills.
