Position Overview:
The Junior Academic Administrator plays a vital role in supporting the smooth operation of academic functions at HH Korean Language Center. This role focuses on assisting with class material preparation, student management, communication, payment processing, and general administration. The ideal candidate is detail-oriented, organized, and capable of managing multiple tasks while ensuring excellent communication with students and staff.
Key Responsibilities:
1. Class Materials Management & Development
- Create and format class materials based on content provided by the native Korean teachers.
- Organize, upload, and maintain academic resources on Notion and Google Drive.
- Ensure all academic materials are properly categorized, up-to-date, and easily accessible for students and instructors.
- Assist in tracking and updating version-controlled materials to ensure consistency and accuracy.
2. Communication and Notice Management
- Update center notices and announcements (center off days, events, payment reminders, etc.) to keep students informed.
- Communicate effectively with students regarding class updates, changes, and relevant academic information through designated platforms.
- Support in maintaining effective and timely internal communication channels between students, teachers, and the center.
3. Student Management
- Respond promptly and professionally to student inquiries through various communication channels (email, messaging platforms, etc.).
- Manage and distribute essential class links, including access to live sessions, class materials, and replacement class application portals.
- Ensure timely and accurate communication regarding student-related academic matters.
4. Student Payments Management
- Monitor student payments and follow up to ensure timely fee collection.
- Prepare and issue receipts for student payments, maintaining accurate and complete financial records.
- Perform data entry related to class payments and update payment records regularly.
- Collaborate with the HR & Account department to reconcile payments and resolve discrepancies.
5. General Administrative Support
- Assist with administrative tasks including filing, data entry, record-keeping, and document organization.
- Support other departments (Administration, Teaching Workforce, Events) with academic-related tasks when required.
- Contribute to improving administrative processes for smoother operations and student satisfaction.
Qualifications & Skills Required
- Diploma or Bachelor's degree in Administration, Education, Communication, or a related field.
- Fresh graduates are welcome to apply.
- Strong organizational and time management skills.
- Proficiency in Google Workspace (Google Drive) and Notion is an advantage.
- Good written and verbal communication skills (English essential; Korean is preferred).
- Ability to work independently while also collaborating effectively with different departments.
- Detail-oriented, proactive, and able to handle multiple tasks simultaneously.
- Strong sense of responsibility and service-minded attitude towards students and instructors.
