- Assist the Procurement department for all matters related to purchasing and admin. - Involve in indirect purchases - sourcing, negotiating, issuing of Purchase Orders, monitoring delivery status of purchases. - Prepare monthly and submit detailed reports related to purchasing - Review quality of purchased products. - Maintain updated records of purchased products, delivery information and invoices. - Monitor stock levels and place orders as needed - Ask for quotation, liaise with suppliers for purchases, in charge of HQ and operations administration such as purchase office stationeries and office equipment. - Conduct research to ascertain the best products and suppliers in term of best value, delivery schedule, price and quality. - Arrange of logistic goods - Build and maintain good relationships with new and existing suppliers - Develop purchasing strategies - Always ensure and keep updated record and supplier certifications (Eg: Halal) as required to assist the application process - Always update the current price of a product with supplier - Issue purchase order, invoice and delivering order. - Receive physical stock and update in the system - Manage inventory system - Request samples and quotation for new products from supplier - Responsible on order from e-commerce. Eg: Lazada and Shopee - Responsible to maintain and update the office asset and maintain the good condition of the assets - Responsible for the outlet opening – preparation of equipment list - Arrange courier service and receive courier – arrange courier for Citylink or FMX. - Collect mails from mailbox. - Get documentation ready for new café opening and keep it in proper documentation. - Update inventory price in the POS system. - Prepare report maintenance and invoice.
