JOB SCOPE - DUTIES & RESPONSIBILITIES 1. As Handal Office’ first point of contact (FPC), needs to properly project Handal, to wit: a. Physically presentable and work-ready 15mins before official start of the day b. Maintains a professional look and demeanour but on site and on the phone. c. Ensures the office front desk, office lobby, and waiting area are clean, in proper order, and aesthetically pleasing 2. Stands as designated gatekeeper who upholds all company security protocols and: a. Stays at front desk area at all times to filter comings and goings through main door b. Maintains a list of updated emergency information and contact details c. Secures the use of the main entrance key 3. Receives inquiries, calls, and visitors/ guests and re-directs the same to the proper employee (EE). If EE is not available, immediately passes on a message to the PIC of EE’s business/ functional unit. May also take instructions for further action. 4. Keeps record of all calls and visitors - including name, company, date, time, purpose of call or visit 5. Maintains the aesthetics, cleanliness, and order of all office common areas especially at the office front desk area/ lobby, waiting area, and pantry. Coordinates with the cleaners to ensure the same. 6. Receives and records delivered packages or documents. Secures the same until claimed. 7. Coordinate with bldg. mgt for repairs, permission to enter/ parking for visitors/ guests. 8. Designated property custodian for all office common rooms/ areas and maintains a steady supply of needs for these rooms/ areas. 9. Other receptionist responsibilities as may be assigned by the HR Department.
