Job Summary: We are seeking a highly organized and detail-oriented Tender Assistant to support the tendering process for our organization. The Tender Assistant will be responsible for assisting in the preparation, coordination, and submission of tender documents, ensuring compliance with all relevant requirements and deadlines. Key Responsibilities: - Assist in identifying and tracking new tender opportunities from various sources. - Prepare and compile tender documents, including technical and commercial submissions. -Coordinate with internal departments (such as Finance, Legal, and Technical teams) to gather necessary information. -Ensure timely submission of tenders and all required documentation. - Maintain and update the tender tracking system/database. - Review tender specifications and ensure all requirements are met. - Communicate with clients or tendering authorities to seek clarifications when necessary. - Assist in post-tender activities such as clarifications, documentation updates, and record-keeping. - Manage and maintain all tender-related documents and archives. - Support the Tender or Business Development Manager in administrative tasks related to tenders. Requirements: - Diploma or Degree in Business Administration, Engineering, or a related field. - Proven experience in tendering, administrative support, or documentation roles is an advantage. - Excellent written and verbal communication skills. - Strong attention to detail and organizational skills. - Proficient in Microsoft Office (Word, Excel, PowerPoint). - Ability to manage multiple tasks and meet tight deadlines. - Basic knowledge of procurement and tendering processes is a plus.
